The role of secretary will be pivotal in supporting the all the departments within the organisation with dictation, filing and general secretarial duties and on occasion cover reception when required.

You will support the Office Manager in the day-to-day coordination of secretarial support to the departments.

You will report directly into the Office Manager with a responsibility to keep the secretarial support operating efficiently and effectively.

Key Responsibilities

  • Support to each department within the organisation
  • Type solicitors’ audio files and written notes. Evolve the process to reduce dependency on dictation.
  • Take organisational calls and provide cover to reception when required.
  • Assist the organisation with day to day running and operational requirements.
  • Open new files for departments using the file opening form. Ensure the process is documented.
  • Ensure receive clear instructions in relation to tasks.
  • Office management support

Requirements

  • You have 2 years plus experience in a law firm in a legal secretary or legal assistant role.
  • You are a clear communicator and have the experience to answer client calls, listen and understand their needs and give clarity of the action that you will take, and they can expect.
  • You are a collaborator and have operated within a legal team for more than 2 years.
  • You are able to translate dictation into typed documents.
  • You like to be highly organised, you like processes and you like to pay attention to the detail.
  • You will have a communication style that is clear, persuasive, engaging, and directive.
  • You will be able to demonstrate a professional approach to requests.
  • You have a happy, positive, and calm demeanour and can make people feel at ease.
  • You will be tenacious and determined. You will follow up on every team action.
  • You have experience with MS Office and have computer literacy skills. You will have experience of a case management platforms.
