Our client is a luxury travel specialist recognised for its pioneering approach to responsible, bespoke travel, with journeys designed by experienced specialists who bring genuine, first-hand destination expertise. Every trip booked contributes to the protection of the wild places they promote. They are now seeking an Operations Executive to join a growing Operations team, working closely with the Head of Operations to manage post-booking administration and ensure every client receives a smooth, well-organised journey from confirmation through to travel.
The Role: In this role, you will manage the full post-booking journey — from client documentation and CRM updates to supplier coordination and customer support — helping to ensure every booking runs smoothly.
- Liaise with clients by phone and email on visas, flights, luggage, health protocols, dietary needs and special requests
- Collect and verify client documentation, including booking forms, passports, flight tickets and travel insurance
- Provide administrative support to the sales team
- Prepare confirmation itineraries and final travel documents using CRM tools and Word templates
- Maintain and update client records across CRM and internal systems
- Manage tasks, upload documents and keep logistical information accurate and current
- Send supplier reconfirmations and monitor payment statuses
- Liaise with suppliers to reconfirm bookings and resolve discrepancies or changes
- Check supplier invoices against booking details
- Book additional services such as restaurants, tours and airport meet-and-assist
- Stay up to date with travel advice, visa requirements and destination information
- Prioritise workload and manage multiple tasks to meet deadlines
Experience Required:
- Minimum 2 years’ experience in an administrative, customer-facing role
- Excellent written English, grammar and attention to detail
- Professional, confident telephone manner and strong communication skills
- Proficient in Microsoft Word and Excel; CRM experience is an advantage
- Organised, self-motivated and able to work independently
- Able to multitask and prioritise effectively in a fast-paced environment
- Travel experience within Africa is advantageous but not essential
