Role Overview
The Pre-Construction Administrator plays a key role in supporting Ambit's pre-construction and technical teams by managing all administrative and document control processes during the early stages of commercial fit-out projects. The role ensures that information is well organised, compliant, and readily accessible, enabling efficient tendering, design development, and project mobilisation. You will work closely with the Pre-Construction Director, Estimators, Technical Services Managers, Pre-Construction Managers, Commercial Teams, and external consultants to support the successful delivery of complex commercial retrofit projects.
Key Responsibilities
- Documentation & Document Control
- Manage, track, and maintain all pre-construction documentation in line with company, client, and industry standards.
- Set up and manage structured document control systems for commercial fit-out projects, including:
- Design information and technical submissions.
- Health & Safety and compliance documentation.
- Estimates, cost plans, and Bills of Quantities (BOQs).
- Pre-construction programmes and tender documentation.
- Maintain accurate and up-to-date records across SharePoint, Procore, or other document management platforms.
- Pre-Construction & Tender Support
- Provide administrative support throughout the tender and pre-construction phases of commercial retrofit projects.
- Assist with the preparation and completion of Pre-Qualification Questionnaires (PQQs), contractor questionnaires, and client documentation.
- Coordinate the issue, receipt, and tracking of design information from consultants and supply chain partners.
- Coordination & Communication
- Ensure timely circulation of information between internal teams, consultants, and stakeholders.
- Support Technical Services and Commercial teams in managing design clarifications, returns, and updates.
- Maintain clear version control and audit trails for all project documentation.
- Process Improvement & Compliance
- Assist in streamlining administrative and document control processes to improve efficiency and consistency across projects.
- Support compliance with health, safety, and quality procedures during the pre-construction phase.
- Help prepare documentation for a smooth transition from pre-construction into construction delivery.
Required Skills & Experience
Essential
- Previous experience in an administrative or document control role within commercial fit-out, construction, or building services.
- Practical understanding of pre-construction processes, ideally within commercial office or workplace projects.
- Strong document control knowledge with excellent attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience using document management systems such as Procore, Viewpoint, 4Projects, Docelite, or SharePoint.
- Ability to manage multiple deadlines in a fast-paced, technically driven environment.
Desirable
- Experience working on MEP or technically complex commercial fit-out projects.
- Familiarity with BOQs, cost plans, and tender documentation.
- Previous exposure to working alongside Technical Services or MEP Design teams.
