The Controller (Machinery Team) supports the day-to-day commercial, logistics, financial administration, and general administrative activities of the Machinery Team. The role includes preparing quotations, coordinating shipments, liaising with customers and suppliers, maintaining accurate records, and supporting monthly reporting and management activities.

The role requires a proactive and organised individual who can work accurately, communicate effectively with internal and external stakeholders, and provide reliable support to the team and management.

Key Responsibilities

Commercial & Operational Support

  • Prepare customer quotations and cost estimates.
  • Coordinate domestic and international logistics and shipment activities.
  • Liaise with customers, suppliers, logistics providers, and other business partners.
  • Attend customer and supplier sites as required.
  • Record and maintain accurate financial information and transaction records.
  • Process customer invoices and supplier payments.
  • Create and maintain vendor and customer accounts in Microsoft Business Central.
  • Prepare monthly sales closing reports and support month-end reporting activities.
  • Prepare regular reports, presentations, and management information.

Administrative Support

  • Coordinate meetings, prepare agendas, and record meeting minutes.
  • Manage visitor arrangements and general office administration.
  • Support procurement of office and operational consumables.
  • Provide ad-hoc administrative and analytical support to management.

Value-Added Support Responsibilities

In addition to the core operational responsibilities, the role provides support in the following areas under appropriate guidance and in line with business needs:

  • Support compliance management activities, including export control checks, verification, and reporting.
  • Support VAT scheme validation and checks relating to local regulatory requirements where required.
  • Support contract pre-review administration and NDA exchange processes.
  • Support preparation of presentations, analytical reports, and proposal materials.
  • Support preparation of customer information for discussions and presentations.
  • Support basic data analysis, proposal preparation, and follow-up actions from discussions.
  • Support the development and sharing of team knowledge to improve consistency, efficiency, and continuous improvement.
  • Support business development activities through accurate information, coordination assistance, and preparation of supporting materials.

Knowledge, Skills & Experience

  • Full UK Driving Licence.
  • Strong administration skills with the ability to maintain accurate records and process information efficiently.
  • Strong Microsoft Office skills, including Excel, PowerPoint, and Outlook.
  • Excellent organisational, communication, and stakeholder management skills.
  • Strong attention to detail and numerical accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience using Microsoft Business Central or similar ERP systems.
  • Experience in logistics, procurement, or purchasing roles.
  • Chinese language skills would be advantageous due to interaction with suppliers and business partners in the Chinese market.
