Key Responsibilities

  • Portfolio & Tenancy Management
    • Manage a portfolio of residential rental properties from move-in to move-out
    • Act as the main point of contact for landlords and tenants
    • Ensure tenancies are managed in line with AST agreements and UK legislation
  • Maintenance & Repairs
    • Log, prioritise, and coordinate maintenance issues
    • Instruct approved contractors and manage works within agreed budgets
    • Obtain quotes where required and seek landlord authorisation
    • Monitor contractor performance, costs, and completion times
    • Deal with emergency repairs and out-of-hours issues when required
  • Compliance & Legislation
    • Ensure properties remain compliant with UK regulations, including:
      • Gas Safety (CP12)
      • Electrical Safety (EICR)
      • EPC requirements
      • Smoke & carbon monoxide alarms
      • Right to Rent
      • Licensing requirements (where applicable)
    • Maintain accurate compliance records on the property management system
    • Support Section 21 / Section 8 processes where required (with senior approval)
    • Handle deposit deductions and disputes in line with DPS guidelines
  • Landlord & Tenant Relations
    • Provide clear, professional advice to landlords on their legal responsibilities
    • Handle tenant complaints and disputes calmly and fairly
    • Set expectations clearly and manage difficult conversations professionally
    • Maintain high levels of customer satisfaction and retention
  • Administration & Systems
    • Keep property management software fully updated
    • Record all actions, communications, and compliance documentation
    • Work closely with lettings, accounts, and senior management teams
    • Support business growth through renewals, rent reviews, and landlord retention

Person Specification

  • Essential
    • Previous experience in residential property management or lettings (6 months)
    • Excellent communication and organisational skills
    • Ability to manage a busy workload and prioritise effectively
    • Confident handling difficult conversations with landlords and tenants
    • Good IT skills and experience using property management systems
    • Full UK driving licence (if inspections required)
  • Desirable
    • ARLA / Propertymark qualification (or working towards)
    • Experience managing licensed or complex properties
    • Knowledge of deposit dispute processes
    • Background in maintenance coordination or contractor management
