Project Administrator and Document Controller Role

We are seeking a highly organised and proactive Administrator and Document Controller to join our team in the cable lay and burial sector. The successful candidate will play a critical role in supporting project organisation by ensuring that all administrative tasks and document control procedures are efficiently managed. This position requires a keen attention to detail, excellent organisational skills, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities

Document Control

  • Manage, control, and distribute project-related documents, drawings, and reports.
  • Ensure all project documentation is filed, archived, and easily retrievable according to company standards and project requirements.
  • Maintain and update document registers, ensuring accuracy and currency.
  • Ensure compliance with documentation standards and handle document flow between teams and stakeholders.
  • Assist with audits by providing necessary documentation.
  • Monitor deadlines, report compliance issues, and follow up on actions.
  • Coordinate with clients on submission processes and organize regular alignment meetings.
  • Serve as the point of contact for document control queries.

Administration

  • Be the single point of contact for project organisation and document storage.
  • Support project managers and teams with scheduling, correspondence, and travel arrangements.
  • Maintain the project SharePoint site and prepare meeting documents.
  • Assist in preparing project proposals and reports.
  • Manage project management systems and coordinate with other departments.

Additional Responsibilities

  • Maintain document control procedures and master registers.
  • Distribute and track documents ensuring timely issuance.
  • Organise and maintain electronic and physical archives.
  • Support project schedules, milestones, and deadlines.
  • Coordinate project meetings and record minutes.
