Responsibilities
- Establish and manage a structured document management system across the Group.
- Ensure all policies, procedures, frameworks, and standards are up to date, approved, and consistently formatted.
- Implement version control, review cycles, and archiving in line with regulatory and internal requirements.
- Support segregation of duties by managing documentation independently from content owners (e.g. Governance, Risk and Compliance, Finance, IT).
- Ensure tasks are mapped and completed in line with Altery internal policies, escalating any gaps or delays.
- Undertake any other responsibilities related to document management, monitoring, or governance as required to ensure full compliance with the Group Document Management Policy.
Governance Support
- Establish and manage a structured document management system across the Group.
- Ensure all policies, procedures, frameworks, and standards are up to date, approved, and consistently formatted.
- Implement version control, review cycles, and archiving in line with regulatory and internal requirements.
- Support segregation of duties by managing documentation independently from content owners (e.g. Governance, Risk and Compliance, Finance, IT).

Systems & Tools
- Oversee content and access management for governance platforms (e.g. Confluence, Astute, shared repositories).
- Coordinate document migration, updates, and lifecycle management across these systems.
- Manage the Group's designated 'golden sources' and document libraries to ensure a single source of truth is maintained.
Quality Assurance
- Maintain a central register of governance documents and associated review/renewal dates.
- Conduct periodic quality checks to ensure clarity, consistency, and compliance with branding and regulatory requirements.
- Monitor compliance with document management obligations and prepare reports for governance forums as required.
Risk & Compliance Interface
- Partner with business units, compliance, and risk teams to capture updates and changes in policies/procedures.
- Provide document management support for group-wide initiatives, audits, and regulatory reviews.
- Act as the key contact point for document governance queries.
- Liaise with the Data Protection Officer and local designated data protection representatives on data governance queries, ensuring records are handled in line with relevant data protection laws.
Qualifications
- Knowledge of document lifecycle management, including version control, retention, archiving, and secure destruction.
- Familiarity with document governance requirements, including approval protocols and regulatory reporting obligations.
- Experience and knowledge of FCA Regulations.
- Experience managing golden source repositories and ensuring single-source accuracy across platforms (e.g. Confluence, Astute).
- Awareness of data protection and information security principles, and ability to liaise with the Data Protection Officer when required.
- Ability to produce monitoring reports and support audits on compliance with document management obligations.
- Proactive and solutions-oriented mindset.
- Ability to handle confidential information with integrity.
Nice-to-have
- 2–4 years experience in document or records management, preferably in a governance, compliance, or regulated environment.
- Understanding of governance frameworks and compliance requirements is an advantage.
- Experience in training or coaching staff on documentation processes is a plus.
- Strong organisational and project management skills.
- Excellent attention to detail and commitment to accuracy.
- Strong communication skills to engage with stakeholders across multiple functions and geographies.
