Job Purpose: To provide front-of-house and office support by managing reception operations, maintaining secure access and visitor tracking procedures, and supporting the smooth day-to-day running of the office environment.

Working hours: Monday to Thursday 08:30am – 3pm. FTC - 12 months. Occasionally, additional hours after 3:00pm and occasional Friday cover may be required to meet business needs, therefore flexibility is essential.

Receptionist - Key Responsibilities

  • Welcome visitors, clients, employees, and contractors in a professional and friendly manner.
  • Manage access to the third-floor office by monitoring and answering the door.
  • Act as the main point of contact for office-related queries and provide day-to-day support to staff and stakeholders.
  • Liaise with contractors and suppliers, including cleaners, maintenance teams, building management, and service providers.
  • Maintain a clean, tidy, and professional reception and office environment.
  • Ensure noticeboards and office documentation are organised and up to date.
  • Monitor and replenish office supplies, stationery, kitchen items, and other consumables.
  • Support general office housekeeping, including maintaining communal areas, cupboards, storage spaces, and ensuring clear desk policies are followed.
  • Raise and monitor maintenance and repair requests to ensure issues are resolved promptly.
  • Identify and suggest improvements to enhance the office environment and workplace experience.
  • Maintain and refill the coffee machine and ensure the communal kitchen remains clean, stocked, and well presented.
  • Manage visitor procedures, including visitor logs, badge and lanyard control, and notifying hosts of arrivals in line with company processes.
  • Prepare meeting rooms when required and ensure they remain clean, tidy, and ready for use.
  • Provide general administrative support, including scanning, printing, updating trackers, and maintaining data logs.
  • Follow company and Health & Safety policies, including carrying out daily visual office checks, and ensuring required H&S information is displayed.
  • Report incidents and facilities-related issues to the Facilities Manager and through the internal ticketing system.
  • Manage deliveries, collections, catering orders, and dispatch requests.
  • Coordinate IT parcel collections and deliveries, including maintaining delivery records and dispatching items to the IT department.
  • Manage office fruit basket collections and arrange the return of empty baskets to suppliers.

Please note that this role may occasionally require the successful candidate to assist with tasks outside of the standard duties listed above, in line with business needs and where reasonable. Flexibility and a willingness to support the wider team are important aspects of the role.

Skills & Experience

  • GCSE qualifications (minimum requirement).
  • Proficient in Microsoft 365 (Word, Excel, Outlook, Teams).
  • Competent in data entry with strong attention to accuracy and detail.
  • Previous experience in a customer service role or similar client-facing position.
  • Proven ability to manage visitor logs, room bookings, and administrative records.
  • Strong verbal communication skills for face-to-face interactions with visitors and colleagues.
  • Clear and professional written communication, including handling emails and correspondence.
  • Excellent organisational skills with the ability to prioritise and manage multiple tasks simultaneously.
