We have a rare opportunity at our factory in Enstone, Oxfordshire for a Travel Co-ordinator:
As Travel Co-ordinator You Will
In this role you will be responsible for gathering and consolidating requirements and make corresponding travel arrangements in accordance with Company policies and procedures for Marketing, Finance, Legal, HR, Non-F1, Sustainability and Race Support Team members travelling on Company business.
Key Accountabilities Of This Role Will Be
Race Support Team & Marketing Events
- Review requirements with requestors/budget owners.
- Consolidate requirements of all travellers to an event and propose corresponding travel arrangements for approval.
- Arrange visas when needed, negotiate tariffs, and make bookings for flights, hotels, and ground transport.
- Produce accurate itinerary documents for circulation to all travellers.
- Support travellers during events as required.
- Reconcile invoices to reservations/bookings/orders and obtain approval for payment from budget owners.
Non-Event Travel (Excluded Personnel Only)
- Take responsibility of all the travel duties for ad-hoc bookings and requirements with requestors/budget owners
- Prepare “Travel Requisition” document and obtain approval from budget owner.
- Arrange visas when needed, negotiate tariffs, and make bookings for flights, hotels, and ground transport.
- Produce accurate itinerary documents for circulation to all travellers.
- Responsible of managing taxi requests and invoicing
General
- Travel services must be procured in a timely and efficient manner recognising the need for value for money and fulfilling the travel requirements of the requester/budget owner.
- Maintain effective relations with travel partners/suppliers such as Travel Agent, Ground Transport providers, Hotels.
Support the team with financial activities such as allowances and other ad-hoc requests where needed.
What We’re Looking For
We are looking for someone who has previous experience of planning and booking group travel and events. You will also possess the following attributes:
- Clear communicator with good presentation skills and attention to detail.
- Excellent time management, ability to be flexible and prioritise tasks according to deadlines
- Good computer skills with knowledge of MS Office suite
- Excellent attention to detail
