Role Purpose: Lead on the coordination and planning of Planned Preventative Maintenance (PPM) across all campus sites, ensuring the Director of Property and Heads of Department are fully supported in fulfilling their roles and responsibilities. This role also assists in the coordination of office operations and procedures, acting as the key point of contact between wider HTB Group staff and Site Services for maintenance issues and event planning. It ensures that all large HTBG events receive appropriate out-of-hours support. The role supports Capital Projects by attending site visits to monitor works, and works closely with Site Vergers to help prioritise jobs on site. It includes responsibility for aiding the delivery of specific projects under the direction of the Head of Maintenance, Head of Facilities, and Head of Capital Projects, while remaining up-to-date on all daily maintenance activities.
As a key member of the Site Services team, this role plays an important part in setting and promoting the culture of the team, in full alignment with the vision and values of the HTB Group.
Key deliverables
- Ensure Planned Preventative Maintenance (PPM) is effectively implemented across all campus sites.
- Support the Head of Maintenance with scheduling and oversight of PPM, with particular focus on statutory checks.
- Influence and oversee the delivery of objectives within your area of responsibility.
- Act as the main point of contact for following up on job request queries.
- Apply experience and insight to analyse and resolve complex challenges in your area.
- Proactively seek opportunities for continuous improvement across your remit.
- Manage budgets for designated areas, as assigned by the Director of Property.
- Play a pivotal role in shaping the tone, culture, and strategic direction of the Site Services team in line with the vision and values of the wider HTB Group.
- Liaise directly with suppliers and sub-contractors to obtain quotes and resolve issues.
- Be responsible for project managing delivery of 'minor works' under the supervision of Head of Maintenance or Head of Capital Projects as appropriate.
- Work with the Site Services team to review and make recommendations on the existing job ticketing system.
- Support team administration during periods of high activity.
- Update and maintain the existing library of building plans.
- Support the Maintenance team with ad hoc tasks as required (e.g., installation/removal of scaffolding towers, purchase and delivery of materials to site).
- Deputise for the Head of Maintenance during holiday or absence periods.
- Support the Head of Facilities to cover absences of key staff.

Essential skills, experience & knowledge

- Experience of similar coordination roles in an equivalent organisation.
- Adaptable with ability to prioritise tasks and work to tight deadlines.
- Comfortable working with staff at all levels from maintenance assistants to senior management.
- Competent knowledge of AutoCAD and Google SketchUp to aid with existing and new designs.
- Health and Safety knowledge / IOSH or NEBOSH qualified - or willingness to obtain qualification(s).
- Servant hearted in approach.
Desirable skills, experience & knowledge
- Knowledge of construction, facilities management and/or site management.
- Enthusiasm, energy and a sense of humour.
- Clean UK driving license.
- Experience in creating and reading architectural and engineering drawings.
- Experience within the PPM sector.
