The Email Marketing Specialist is a full-time, execution-focused role responsible for managing all email campaigns and automated workflows across AlMaghrib Institute. This role owns the end-to-end email process—from building and scheduling emails to maintaining automated journeys and ensuring cross-departmental alignment. The ideal candidate has a strong command of platforms such as HubSpot, ActiveCampaign, or similar, is highly organized, and is proactive in driving timelines forward by coordinating with internal teams.
This is not a passive role. Success requires ownership, follow-through, and the ability to maintain a clear overview of all campaigns running across the organization at any given time.
Key Responsibilities- Email Campaign Execution
- Build, schedule, test, and send email campaigns across AlMaghrib’s departments and programs.
- Ensure all emails are accurate, proofed, tested, and delivered on time.
- Maintain consistent formatting, links, segmentation, personalization, and scheduling.
- Coordinate campaign timing to prevent overlap, audience fatigue, or conflicting messages.
- Automation & Workflow Management
- Create, manage, and optimize automated workflows, including onboarding and welcome sequences, event and webinar reminders, follow-up and nurture campaigns, and transactional and system emails.
- Manage tags, lists, triggers, segmentation, and automation logic.
- Monitor workflows to ensure reliability and proper functioning.
- Campaign Oversight & Cross-Team Coordination
- Maintain a centralized overview of all email campaigns across the organization.
- Proactively follow up with Marketing, Live Events, Fundraising, and Operations teams to gather content, approvals, and assets.
- Identify risks, delays, or gaps early and resolve them before deadlines are missed.
- Serve as the primary point of accountability for email scheduling and automation timelines.
- Reporting, Documentation & Optimization
- Monitor and report on key email performance metrics.
- Maintain clean systems, naming conventions, and documentation.
- Recommend improvements to email flows, scheduling processes, and automation structure.
- Proven experience managing email marketing and automation using HubSpot, ActiveCampaign, or a comparable platform.
- Strong understanding of automated workflows and journeys, segmentation, tags, lists, and triggers, and campaign scheduling and coordination.
- Exceptional organizational and time-management skills.
- Proactive communicator comfortable following up and driving accountability.
- High attention to detail and quality control.
- Ability to manage multiple campaigns and priorities simultaneously.
