We are looking for a Reception Supervisor to oversee and support the delivery and running of the current Reception Team of 6. We are a semi-rural Practice in Romsey and have a patient list size of 16,100. We welcome applications to join our busy but friendly Team.
Main duties of the job:
- Supervise and support the Reception Team and answer telephone calls.
- Work closely with the Management Team to maintain an efficient delivery of service to our patient population.
About us:
The Practice has a team of approximately 45 members of staff - GPs, Nurses, Healthcare Assistants, Phlebotomists, Reception, Admin, Dispensary and Management Team. We have Practice coffee breaks, birthday leave and social functions.
Job responsibilities:
- Supervise and support the Reception Team.
- Answer telephones to book appointments, answer patient enquiries and report on test results.
- Monitor telephone appointment requests and assign to the relevant Team member.
- Assist with the eConsult submissions and assign to the relevant Team member.
- Ensure Reception is appropriately staffed by planning and implementing rotas to meet demand.
- Support implementation of Practice policies and procedures, including signposting to appropriate services.
- Help manage patient queries and feedback in a professional and timely manner.
- Monitor telephone calls and identify pressures and escalate to the Management Team.
- Liaise with the Management Team to ensure the smooth running of the Reception Team.
Person Specification:
- Previous experience working in a GP practice or similar healthcare reception/administration.
- Experience in supervising or leading a team.
- Excellent communication and interpersonal skills with a calm and professional manner.
- Strong organisational skills and ability to prioritise in a busy environment.
- Ability to work under pressure.
- Proactive problem solving and willingness to support colleagues.
- Knowledge of NHS General Practice processes including appointment systems.
