Job Summary
The Operations Manager is essential for the efficient running of the company operations. This role focuses on fostering a positive working culture, ensuring projects are completed on time.
Responsibilities
- Oversee administration and management processes, supporting staff.
- Organize and coordinate office operations, procedures, and facilities to ensure effectiveness, efficiency, and compliance with relevant laws and policies.
- Ensure projects are completed on time and foster a positive working culture.
Communication
- Ensure effective communication between staff while maintaining an environment of improvement.
- Support staff members with planning and strategy decisions, ensuring their work is adequately resourced.
- Induct new team members.
- Inform team of any workplace updates/changes as instructed by the CEO.
Administration
- Develop and maintain all administration and filing systems.
- Design and implement office policies and procedures.
- Ensure health and safety regulations are followed.
- Ensure the security, integrity, and confidentiality of any data the union holds.
- Update staff regularly on GDPR.
- Arrange and minute team meetings, committee meetings & AGM.
- Book travel and accommodation.
- Produce reports for the Chief Executive and meetings.
- Introduce and manage in-house IT systems, making sure that they are fit for purpose.
Additional
- Monitor annual leave and sickness levels.
- Maintain and approve office supplies.
- Maintain a safe and secure office environment.
- Identify any skills gaps in the organisation.
- Identify any staff training needs.
