MEDICAL RECEPTIONIST Hours: We welcome applications from candidates interested in the following two sets of hours: Vacancy 1: Mon 10:00-18:30, Tues 08:30-13:00 and Weds 13:00-17:30 = 17 hours p/wk Vacancy 2: Mon 08:30-13:00, Thurs 08:30-17:30 and Fri 08:30-18:30 = 22.25 hours p/wk Place of Work: Penn Hill Surgery Reports to: Deputy Practice Manager Job Summary We are looking for friendly, organised and enthusiastic individuals to join our hardworking and supportive Reception Team. We have increased the hours in the reception team in order to provide greater variety in the day-to-day administrative duties, creating a rewarding role that combines reception responsibilities with a range of administrative tasks. Reception is at the heart of our practice and is often the first point of contact for our patients. This is a busy, fast-paced role where no two days are the same. The successful candidates will enjoy working with people, be able to manage a variety of competing demands, remain calm under pressure and provide a professional, compassionate service to our patients. Whether you have previous experience working in general practice or are looking for a new challenge, we will provide the training and support needed to help you develop in the role. You will work closely with our clinical and administrative teams to ensure patients receive the highest standard of care while contributing to the smooth running of the practice.

Main Responsibilities

Reception Provide a professional, friendly and efficient reception service to patients, visitors and healthcare professionals. Answer telephone calls, deal with general enquiries and signpost patients to the most appropriate clinician or service. Book, amend and cancel appointments using practice systems. Use your judgement and communication skills to ensure patients requiring urgent medical attention are managed appropriately in accordance with practice procedures. Explain practice services, registration procedures and temporary patient arrangements. Maintain accurate patient records using EMIS. Check and update patient demographic details as required. Process payments for private (non-NHS) services and issue receipts.

Administration

As well as reception duties, you'll also undertake a variety of administrative tasks, including: Actioning tasks received via EMIS, AskMyGP and email. Processing new patient registrations, temporary registrations and deductions. Scanning and coding clinical correspondence onto patients' electronic records. Supporting the wider practice team with general administrative duties to help ensure the smooth running of the practice. Summary patient medical records.

Premises

Prepare the surgery for the start of the working day. Secure the premises at the end of the day when required, ensuring practice procedures are followed.

General Responsibilities

Attend team meetings, staff meetings and mandatory training. Participate in service improvement initiatives. Maintain confidentiality at all times in accordance with GDPR, NHS guidance and Practice policies. Work flexibly and undertake other duties appropriate to the role as requested by the Partners or Management Team.
