We are seeking an experienced office based support officer to work in our very friendly Special Maintenance team. The post is based in our depot at Winnall, but will require occasional visits to the City Offices to collect post, attend training courses, meetings etc.

Your primary role is to assist the Special Maintenance manager who has a very busy role, so it would involve assisting them in general office work, preparing documents, speaking to suppliers, taking notes at meetings, liaising with the teams in the wider council, arranging purchase orders, printing/scanning, raising invoices and arranging payments.

You will also support the field based staff, which could involve preparing work packs, giving them instructions, and making sure they are fully occupied during the day by issuing work when required. This work may involve printing/photocopying works instructions, but we will be moving over to a digital platform so that work will eventually transition to managing a software platform.

The role will also involve helping to manage the office environment, including:

  • Receiving phone calls
  • Dealing with emails
  • Assisting visitors
  • Dealing with deliveries
  • Managing the stationary cupboard and ordering items as required
  • Managing tea room supplies
  • Auditing/ordering PPE supplies
  • Ordering cleaning products
  • Testing the fire alarm
  • Keeping an eye on site housekeeping/cleaning

There will be a variety of bespoke software packages to work on, notably the finance system, but any applicant will need to be familiar with Outlook, Word and Excel. We are transitioning over to Microsoft 365, so in time Teams, Whiteboard, One Note and Sharepoint will be used; all training will be provided.

Due to the nature of the roles undertaken by the rest of the staff based at the depot, the office can range from exceptionally busy to quiet, with the applicant sometimes being the only person at the depot if officers are out on site. Being a depot, it will also present a differing work culture to a traditional office, so any applicant will need to be very confident, independent and assertive to thrive in that variable and sometimes unconventional environment.

This is a part time post alternating with another part time officer. We would be looking at working Monday, Tuesday, Wednesday with limited opportunities for overtime. Very occasionally, moving working days or working from home may be possible subject to operational requirements, but essentially the role is depot based due to the need to answer phones and deal with deliveries.

The team also manage out of hours work and assistance may be required to deal with those situations, which could range from waiting around for an hour for a delivery to large issues like city centre flooding which may require compulsory overtime, but that is very rare.
