Be responsible for the smooth, efficient and profitable running of the practice by providing leadership and management skills enabling the practice to meet agreed goals and objectives whilst maintaining and overseeing a safe and effective working environment for a committed and resilient practice team.
MAIN RESPONSIBILITIES
- Overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities.
- Functional and Direct line management of all clinical and administration staff.
- Managing the recruitment, development/training, appraisal and retention of staff and ensuring compliance with pre-employment check standards.
- Supporting and mentoring staff as individuals and team members.
- Implementing effective systems for the resolution of any dispute or grievance.
- Maintaining up-to-date and relevant documentation on personnel files ensuring Contracts of employment are provided, and updated when required.
- Ensuring adequate staffing for all patient services.
- Keeping abreast of employment legislation.
ORGANISATIONAL
- Arrange meetings, preparing agendas and taking minutes as necessary.
- Developing non-clinical practice protocols and policies, reviewing and updating when required.
- Maintaining the cleanliness, upkeep, maintenance, safety and security of the practice premises, car park and gardens.
- Managing the procurement of practice equipment, supplies and services.
- Arranging appropriate insurance and medical sickness cover.
- Ensuring appropriate maintenance for practice equipment.
- Responsibility for security, repairs, upkeep of the practice grounds and premises.
- Ensuring compliance with all aspects of Health and Safety and Data Protection legislation and CQC requirements.
- Managing the Practice Complaints Procedure.
- Monitoring performance against targets for the Quality and Outcomes Framework (DQOF), Enhanced Services and other incentive schemes.
COMMUNICATION AND INFORMATION
- Creating, reviewing and updating of all practice policies, risk assessments and procedures.
- Maintaining an effective liaison with the practice accountants, the practice bank manager and other appropriate agencies.
- Supporting and meeting with the Patient Participation Group.
- Convening and supporting staff meetings, ensuring and tracking actions as appropriate.
- Creating and updating rotas for GPs, staff and availability of room space.
- Managing, monitoring and enhancing an effective appointments system.
- Ensuring holiday and absence requests for all clinical and administration staff are recorded and communicated to the relevant team members.
- Overseeing regular clinical and administrative audits.
- Communicating effectively with other team members, patients and carers.
- Where needs are identified, create alternative methods of communication and respond accordingly.
- Ensuring the practice maintains compliance with its NHS contractual obligations.
FINANCE
- Overseeing and managing the financial elements of the practice, including monthly staff payroll, payments and receipts, petty cash, PCN income and expenditure, ensuring financial and contractual scrutiny on all activity and transactions.
- Manage contributions to the practice pension schemes and maintain appropriate records.
- Submitting end of year staff updates and other changes to staff details to the online NHS Pensions Agency.
- Briefing the partners when required on all financial matters.
- Ensuring maximising of income and control of practice costs.
- Overseeing the submission of all relevant claims via CQRS, PCSE, PCN.
- Managing practice accounting records, reconciling bank statements and submitting year-end information promptly to the accountant.
- Keeping track of all Debtors and Creditors.
- Submitting GP pensionable information annually to PCSE.
- Raising and paying invoices for GP services, room rentals, reimbursements as required.
PPG QUALITY
- Alerting other team members to issues of quality and risk.
- Contributing to the effectiveness by reflection of the team activities and making suggestions for improvements and enhancements to the practice team's performance.
- Working effectively with individuals in other agencies to meet patient needs.
- Managing own time, workload and resources.
COMPLIANCE
- Health and Safety and Infection Control compliance.
- Ensuring drug storage, safety and cold chain procedures are adhered to.
- Compliance with GMS Contract terms.
- Compliance with CQC requirements.
- Compliance to information governance policies and procedures.
GOVERNANCE
- Responsibility for the assessment, recording, tracking and analysis of significant events and incidents within the Practice.
- Ensuring a culture of openness and honesty in line with our Significant Event Policy and the Duty of Candour requirements.
- Responsibility for organising health and safety, fire safety and electrical safety checks.
- Keeping abreast of developments relating to governance within Primary Care.
PATIENT SERVICES
- Maintaining systems to receive patient enquiries, comments and suggestions.
- Managing vaccination campaigns.
- Reviewing and updating the practice information leaflet, website, practice publicity and health education material.
- Monitoring the effectiveness of the repeat prescribing system.
- Overseeing the maintenance of all forms of patient communication.
- Managing the effectiveness of appointment and telephone systems.
- Adopting a strategic approach to the development and management of patient services.
- Ensuring the Practice complies with NHS contractual obligations in relation to patient care.
- Ensuring adequate staffing for patient services.
