The post holder will be a key member of the team providing a professional and efficient administration and clerical support to the Canadian Wing team.

To provide administrative and clerical support to the Canadian Wing team and undertake reception duties within the unit as required, providing patients and visitors with non-clinical assistance.

The post holder is expected to deliver a responsive and high quality service to patients and their relatives/ carers.

To provide administrative and clerical support to the nursing and surgical teams and undertake reception duties within the ward as required, providing patients, families and visitors with non-clinical assistance.

You will need to be able to work under pressure, have the ability to prioritise, have a polite and pleasant telephone manner and be courteous when dealing with staff and the public.

  • Be the first point of contact on the reception desk and ’front-of-house’, greeting patients and visitors keeping them regularly informed of any delay.
  • Answer all non-clinical enquires either face to face or by telephone which may be of a sensitive nature in a professional, empathetic, polite and courteous manner.
  • Take and relay accurate messages and information for clinical staff.
  • Respond to emails and send messages in a timely manner.
  • Liaise with other Ward Clerks and secretaries in the hospital and clinics.
  • Respond to queries and know when to escape appropriately.
  • To undertake clerical duties as directed by clinical staff on duty or the manager.
  • Report any problems to the manager/ Nurse-in-Charge as appropriate.
  • Add and update Patient Centre with patient’s forthcoming appointments, attendance, referral and demographic information including GP information); compile notes/arrange for existing notes to be located/ identified and delivered.
  • Collect and deliver post for both internal and external mail.
  • Collect and deliver notes, x-ray reports, pathology specimens to other departments within the hospital under the direction of clinical staff.
  • Undertaking photocopying activities and the distribution of copies as required.
  • Undertake daily and monthly filing. Arrange transfer of files to Medical Records.
  • Arrange follow-up appointments and transport (where appropriate) as directed by clinical staff.
  • Ensure adequate stationery supplies are available and re-stock as necessary, informing the Nurse-in-charge of supply issues.
  • Undertake data entry for ward based audits and trust audits accurately and in a timely manner
