MAX 30 HOURS PER WEEK - SPREAD ACROSS MONDAY TO FRIDAY
The Repairs Planner will coordinate appointments for residents, operatives and contractors, manage the daily repairs programme, and ensure that repairs are correctly prioritised and communicated.
The role will contribute to delivering a high-quality repairs service that meets the needs of residents and supports the organisation's regulatory, contractual and performance requirements.
Key Responsibilities
- Plan and schedule responsive repairs for in-house operatives and external contractors.
- Allocate jobs according to priority, trade, location, skills, availability and agreed response times.
- Arrange appointments with residents and ensure they receive clear and accurate information.
- Monitor outstanding repairs and take appropriate action to prevent delays or missed targets.
- Liaise with repairs operatives, contractors, surveyors, housing colleagues and other internal teams to coordinate works effectively.
- Update the repairs management system accurately and in a timely manner.
- Monitor operative and contractor workloads and identify opportunities to improve productivity and efficiency.
- Reschedule appointments where required and communicate changes promptly to residents.
- Identify repairs requiring further investigation, specialist attendance, follow-on works or escalation.
- Monitor no-access appointments and ensure appropriate action is taken in line with organisational procedures.
- Support the effective management of emergency and urgent repairs, ensuring appropriate resources are allocated.
- Respond professionally to resident queries relating to repair appointments and progress.
- Escalate complaints, safeguarding concerns, access issues and service failures to the appropriate manager.
- Work closely with contractors to ensure appointments and works are completed within agreed timescales.
- Maintain accurate records and provide information for performance monitoring and reporting.
- Support the team in achieving key repairs performance indicators, including response times, appointment keeping and completion targets.
- Ensure all work is planned and delivered in accordance with relevant health and safety, housing, data protection and organisational policies.
- Contribute to continuous improvement of the repairs planning process and resident experience.
- Undertake any other reasonable duties consistent with the role.
