The Receptionist and Admissions Officer is the welcoming face of Ffynone House School, providing a professional, friendly and efficient front-of-house service for pupils, parents, staff, visitors and prospective families. The role combines reception, administration and admissions responsibilities, ensuring the smooth day-to-day operation of the school office whilst delivering an exceptional experience for families throughout the admissions journey.
Hours: 8:00am - 1:00pm, Monday to Friday, Term Time Only
Key Responsibilities:
- Reception and Front of House
- Act as the first point of contact for all visitors, parents, pupils and external stakeholders.
- Provide a warm, professional and welcoming reception at all times.
- Answer and direct telephone calls, emails and enquiries efficiently.
- Manage visitor sign-in procedures and ensure safeguarding and security protocols are followed.
- Receive and distribute post, deliveries and messages.
- Maintain a tidy, organised and welcoming reception area.
- Monitor pupil arrivals, departures and attendance matters as required.
- Support the smooth running of the school office through general administrative duties.
- Admissions
- Respond promptly and professionally to admissions enquiries from prospective parents.
- Build positive relationships with prospective families and guide them through the admissions process.
- Arrange and coordinate school tours, taster sessions, assessments and meetings.
- Maintain accurate records of admissions enquiries and applications.
- Prepare admissions documentation, correspondence and offer letters.
- Support pupil onboarding and transition processes.
- Assist with the planning and delivery of Open Mornings, Open Evenings and other admissions events.
- Maintain and update the school's admissions database and reporting systems.
- Administration
- Maintain accurate pupil and parent records in accordance with GDPR requirements.
- Prepare correspondence, forms and communications as required.
- Support school events and parental engagement activities.
- Manage office supplies and stationery orders.
- Assist with data entry and record keeping using school management systems.
- Assist the Examinations Officer with data entry and the logging, tracking and dispatch of examination scripts in accordance with examination board requirements and deadlines.
- Provide administrative support to the Headteacher and wider staff team as required.
- Safeguarding Responsibilities
- Promote and safeguard the welfare of all pupils.
- Adhere to the school's safeguarding, health and safety, and data protection policies.
- Report any safeguarding concerns immediately in line with school procedures.
- Participate in relevant safeguarding and compliance training.
Person Specification
- Essential:
- Previous experience in a receptionist, customer service, admissions or administrative role.
- Experience working with members of the public in a professional setting.
- Experience maintaining confidential records and handling sensitive information.
- Skills and Knowledge
