We are looking for an exceptional Executive Personal Assistant / Project Co-ordinator who enjoys taking ownership, creating order from complexity, helping ambitious projects move forward, and bringing calm to busy environments. This is a self-employed role - the candidate will need to be registered or willing to register as self employed. The role supports an established professional who benefits from clear structure, reliable organisation and proactive executive support. The successful candidate will help create systems that reduce cognitive load and enable the individual to work at their best.
The successful candidate will work closely with the individual and a small team of existing PAs, taking responsibility for planning, coordination, administration and project management across both professional and personal areas of life. This is much more than a traditional administrative role. You will act as the central point of coordination, turning ideas, conversations and competing priorities into clear plans, delegated actions and completed pieces of work.
Responsibilities will include:
- Project management β taking projects from initial idea or instruction through planning, coordination, delivery and completion
- Weekly planning and prioritisation β creating structure around competing professional and personal commitments
- Decision support β finding & organising relevant information, presenting options clearly and helping prepare information to support timely decision-making
- Diary and calendar management β coordinating appointments, meetings, deadlines and commitments
- Task and action management β maintaining clear lists of outstanding actions, independently monitoring actions, chasing responses where appropriate and ensuring agreed tasks are completed rather than simply recorded
- Email and correspondence management β organising, prioritising and responding to emails and post where appropriate
- Document management β creating, organising and maintaining files, records and information within Google Drive and other systems
- Coordination of other PAs β helping allocate tasks, communicate priorities and ensure continuity across the PA team
- Liaising with other people β communicating professionally with colleagues, professionals, organisations and other contacts
- Developing and maintaining systems β creating practical systems and processes that make day-to-day life and ongoing projects easier to manage
- Working several steps ahead β anticipating future needs, identifying risks or bottlenecks early and putting solutions in place before problems arise
