Key Responsibilities

  • Business and Administrative Support
    • Provide day-to-day administrative support to the Practice Manager and Assistant Practice Manager
    • Assist with implementing practice policies, procedures and business processes
    • Prepare reports, spreadsheets, presentations and correspondence
    • Coordinate meetings, agendas and minutes for practice management meetings
    • Support project work and service improvement initiatives
    • Maintain accurate records and document management systems
  • Governance, Quality and Compliance
    • Support the maintenance of evidence required for CQC registration and inspections
    • Assist in monitoring compliance with statutory and contractual requirements
    • Maintain governance and compliance trackers
    • Support the review and updating of practice policies and procedures
    • Coordinate audits and ensure findings are recorded and action plans monitored
    • Assist with information governance activities and related documentation
    • Support compliance with health and safety requirements, infection prevention standards and other regulatory obligations
  • Complaints and Significant Events
    • Assist in the administration of patient complaints and concerns
    • Maintain complaints records and ensure responses are tracked against required timescales
    • Gather information and documentation to support complaint investigations
    • Support the organisation and documentation of significant event reviews and learning meetings
    • Monitor completion of actions arising from complaints and significant events
    • Maintain records demonstrating organisational learning and quality improvement
  • IT and Digital Support
    • Act as a point of contact for routine IT issues and liaise with external IT providers
    • Maintain IT asset registers and software licence records
    • Support onboarding and offboarding of staff IT accounts and equipment
    • Assist with implementation of digital systems and process improvements
    • Coordinate routine testing and business continuity arrangements
    • Support cyber security and information governance initiatives
  • Human Resources Support
    • Assist with recruitment administration, including interview arrangements and pre-employment checks
    • Maintain staff training records
    • Support mandatory training compliance monitoring
    • Assist with workforce documentation and personnel records
    • Coordinate occupational health and DBS processes where required
  • Communication and Stakeholder Engagement
    • Develop effective working relationships with staff, patients, commissioners and external agencies
    • Communicate professionally in person, by telephone and in writing
    • Handle sensitive information appropriately and confidentially
    • Respond to queries and requests in a timely manner
    • Liaise with suppliers and service providers regarding routine queries
  • General Duties
    • Adhere to all practice policies and procedures
    • Maintain confidentiality in accordance with GDPR, the Data Protection Act and NHS requirements
    • Participate in training and development activities
    • Undertake any other duties appropriate to the role as delegated by the Practice Manager or GP Partners
    • Contribute to a culture of continuous improvement and excellent patient service
