An exciting opportunity has arisen for an enthusiastic and efficient individual to join the dynamic team in the Same Day Emergency Care unit. as a Same Day Emergency Care (SDEC) Admin Co-ordinator within the Division of Medicine at the Bristol Royal Infirmary.

You will be required to be the main point of contact for all patients and visitors attending the unit.

The successful candidate will be a crucial part of the team and will support the SDEC clinical and managerial leads in delivering a high quality service.

The SDEC Admin Coordinator will receive, admit, transfer and discharge patients accordingly once in our care.

You will be responsible for the daily admin support of the unit as well as making sure the unit is set up accordingly.

You will be required to use computer systems to ensure all patient records are up to date, coordinate clinic lists and liaise with other departments around the hospital, such as estates and porters.

You will need a flexible, proactive and thorough approach and be able to quickly form and maintain good working relationships with colleagues in different staff groups and at all grades.

You should have the ability to think calmly and logically under pressure, have excellent interpersonal and communication skills, and have a positive attitude to maintaining high standards at all times.

You will be quick to learn, be able to work as part of a team, and also possess the ability to work unsupervised using your own initiative.

This vacancy is a part-time, 22 hours per week worked over 2 weekdays. with shift times of 07:30-19:30.

Administrative Duties

  • To be the first point of contact for all patients and patient relatives on the unit.
  • Setting up the unit ready for the day ahead making sure there is enough paperwork in all areas.
  • The post holder will be required to work alongside the Nurse in charge with all admissions to the unit using the medical take list.
  • To electronically transfer patients from the Emergency department up to ED SDEC.
  • To arrange mending of medical equipment MEMO and request any necessary repairs on AGILITY
  • Liaise with porters to collect and transfer patients and blood sample products
  • Receiving and processing referrals from various sources including, but not limited to, the ED, other wards, DVT Nurses and GPs, which includes liaising with relevant clinical staff in order to effectively triage and direct patients.
  • Required to use Microsoft Outlook daily as part of the role checking the SDEC Admin Coordinator email box and dealing with any incoming emails.
  • Using Careflow (formally Medway, live system for all patients journey through the Trust) daily, where patients are appropriately received, admitted, transferred, discharged and when relevant, follow-up, outpatients appointments.
  • Check ICE and Careflow for any uncompleted discharge letters and chase appropriately.
  • Scan all patients Medical Records through the online scanning system and ensuring they are up loaded to Careflow Evolve and the notes are then collected and stored as per Data protection.
  • Dealing with telephone enquiries from general practitioners, patients, relatives and hospital staff and liaising with relevant departments.
  • Clinics
  • Dealing with Inpatients, Outpatients and Emergency Patients.
  • Create and maintain clinics for the DVT nurses.
  • Manage the Acute Medicine Clinic list and its patients on a daily basis.

Additional Duties

  • Assist AMU Admin Coordinator and AMU Ward Clerks when required (covering annual leave, sickness etc)
