Medical Secretary/ Receptionist Part-time 16 hours per week Job Summary

We are seeking a motivated, organised, and patient-focused Medical Secretary/ Receptionist to join our friendly and supportive GP practice team.

This is a varied role combining reception and medical secretarial duties, providing essential administrative support to ensure the smooth running of the practice and the delivery of high-quality patient care.

The successful candidate will be an excellent communicator with strong organisational skills, the ability to work under pressure, and a professional, confidential approach to their work.

Previous experience in a GP practice or NHS setting is desirable but not essential, as full training will be provided.

Main Duties of the Job

  • Providing a professional and welcoming reception service to patients and visitors.
  • Answering telephone calls and responding to patient enquiries in a courteous and efficient manner.
  • Booking, amending, and cancelling appointments using the clinical system.
  • Processing referrals, including urgent Two Week Wait (2WW) referrals, in line with practice and NHS guidelines.
  • Managing incoming hospital correspondence and ensuring patient results and documentation are processed appropriately.
  • Processing Advice and Guidance (A&G) requests.
  • Arranging and coordinating patient follow-up appointments.
  • Taking accurate minutes at practice meetings and distributing them as required.
  • Providing administrative and secretarial support to GPs and the wider clinical team.
  • Maintaining accurate electronic patient records while ensuring compliance with GDPR, confidentiality, and information governance policies.
  • Working collaboratively with colleagues to provide a high standard of patient care and support the efficient running of the practice.

Person Specification Essential

  • Excellent communication and interpersonal skills.
  • Strong organisational skills with the ability to prioritise a varied workload.
  • Good IT skills, including Microsoft Office applications.
  • Ability to work accurately and efficiently under pressure.
  • Excellent attention to detail.
