Part-Time Medical Receptionist

Weekly Hours 15hrs 30min Monday 13:30 - 19:00 (no lunch break) Wednesday 13:30 18:30 (no lunch break) Thursday 13:30 - 18:30 (no lunch break)

Role summary

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

To provide efficient, helpful, informative and supportive reception and administration services to patients and members of the primary health care team.

Job responsibilities

You will be expected to perform different tasks as necessitated by the development of this role as the practice develops, and the overall business objectives of the practice change.

Main Duties

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
  • To be able to cover all reception roles as necessary.
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Non-clinical triage of patients problems in order for appointments to be made with the most appropriate clinician.
  • Arrange home visits ensuring careful recording of all relevant details for the doctor.
  • Deal with patient bookings and enquiries in a friendly and courteous manner both face to face and over the telephone.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Ensure that all new patients are registered onto the computer system promptly and accurately.
  • Action prescriptions in an accurate and timely manner including repeat/controlled and acute prescriptions as per practice prescribing protocols.
  • Audit and remove prescriptions not collected by patients.
  • Results - to accurately process results and allocate them to the appropriate clinician for review and action.
  • Take action on clinicians requests for further information/patient contact information etc. (including computerised practice notes), ensuring completion of all associated paperwork.
  • To action and process tasks as requested via EMIS and email.
  • To action and process electronic consultation requests in accordance with patients needs.
  • To monitor and action emails being received into the practices generic email.
  • To undertake new patient notes summarising on arrival of patient paper medical records.
  • Keeping the paper records system up to date and in order, ensuring the speedy filing of paper records as required.
  • Chaperoning when needed and when fully trained.
  • To undertake any other ad-hoc tasks assigned by the managers.
  • Other Duties
  • Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
  • When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
  • Where necessary advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
  • Ambulance/transport bookings as per protocol.
  • Ensure incoming emails are dealt with accurately referred to the attention of the relevant person.
  • Process incoming and outgoing mail according to practice protocols.
  • Complete other Daily/ Weekly and Monthly core tasks to support to smooth running of the reception area
  • Other Tasks
  • Ensure waiting room is tidy throughout the day.
  • Ensure building security have thorough knowledge of doors/windows/alarm.
  • Clear consulting rooms after surgery.
  • Covering colleagues holiday and sick cover as required.
  • Any other tasks allocated by managers.
  • Job Types: Part-time, Permanent Part-time hours: 15hrs 30min per week

Salary: From £13.00 per hour to start. Will raise to £13.23 per hour after 6 months' probation period.
