We are currently recruiting for a Fleet Vehicle Administrator to support a busy Facilities Management team based in Oldbury. This is a varied temporary role ideal for someone with strong administration skills, excellent attention to detail and the confidence to support fleet, facilities and customer-facing duties.
Your new role
In this position, you will be responsible for opening the office and warehouse facilities each weekday morning, ensuring the building is checked and ready for occupants by 7:00am. You will also provide key administrative and budgetary support to the fleet management service, assisting with invoice processing, vehicle bookings, MOTs, servicing, repairs, vehicle handovers and general driver enquiries.
Key responsibilities will include:
- Supporting the Fleet Coordinator with day-to-day fleet administration
- Managing visitor and staff parking requests
- Coordinating meeting room bookings
- Liaising with contractors and suppliers
- Processing orders and invoices
- Supporting budget reporting
- Assisting with transporting vehicles to and from garages when required
Working hours will be 6:45am - 2:45pm Monday to Friday.
What you'll need to succeed
The successful candidate will have good literacy and numeracy skills, be confident using Excel and internal IT systems, and have strong communication skills across email, telephone and face-to-face interactions. A valid UK driving licence is essential, and previous experience within fleet management, facilities, budget administration or a similar support role would be highly beneficial. We are looking for someone who is organised, customer-focused and able to prioritise requests from multiple sources. You will need to work well both independently and as part of a team, remain calm under pressure and be comfortable dealing with staff, visitors, suppliers and drivers in a professional manner.
