This role provides proactive and efficient administrative support to the Safeguarding Team. The post holder will be expected to work independently, using their own initiative to plan, prioritise, and manage a variety of tasks to meet deadlines effectively.

Responsibilities include:

  • Co-ordinating and providing a full range of administrative support to the Corporate Safeguarding Team.
  • Utilising a range of computer packages, including Word, Excel, Outlook email and the internet as well as in-house systems as required.
  • Communicating administrative information to a wide range of health service and internal and external staff, liaising effectively with partner agencies such as Police, social services and education as appropriate.
  • Successfully using/managing electronic mail for self and Corporate Safeguarding Team as appropriate, setting up new files on systems as and when necessary.
  • Arranging meetings, liaising with professionals and their support staff from within the local health and partner agencies, booking venues and arranging refreshments as required.
  • Managing communications (post, telephone calls and e-mails) into the Corporate Safeguarding Team, bringing urgent business to the attention of the specialist nursing and midwifery team members.
  • Carrying out routine clerical tasks including photocopying and filing of all information, setting up new systems as necessary.
  • Managing the systems and databases required to collate data for the Corporate Safeguarding Team.
  • Participating in producing the statistics collected into quarterly and annual reports.
  • Management of multiple email inboxes.
