The post holder will contribute to the delivery of high quality, safe and compassionate healthcare to patients by providing an administrative service focused on the patient and their individual needs.

The Data Quality Administrator will provide effective and efficient administrative support to a team liaising with patients, doctors and other healthcare professionals.

The staff member will work consistently to provide high quality customer service and will be professional at all times.

The post holder will be required to cover extensive work including Data quality amendments and KPIs.

  • Support the Data Quality Manager in maximising the best use of clinical and non-clinical resources
  • Ensure that all enquiries are dealt with in a timely, polite, professional and confidential manner, taking action or escalating as appropriate, using initiative and prioritising skills
  • Proactively manage patient pathways so that all patients receive a high standard of service delivery
  • Ensure all activity is cashed up in a timely manner using Trust's PAS/appropriate IT system including DNAs and discharges.
  • Organise and prioritise workload with minimal supervision
  • Liaise with other hospitals and GPs regarding patient care and pathways

  • Proactively manage patient pathways so that all patients receive a high standard of service delivery
  • Use initiative when dealing with patients' problems or when dealing with managers and consultants who may request patient information.
  • Ensure all activity is cashed up in a timely manner using Trust's PAS/appropriate IT system including DNAs and discharges.
  • Assist with amending and provide correct workflow re the current KPIs on daily basis
  • Participate in new staff induction, demonstrates duties to new starters and provide close supervision
  • Develop new members of the team through training and supervision
  • Adhere to trust-wide standard operating procedures and policies developed for clinical administrative processes and participate in their development
  • Suggest improvements to systems, with ways of measuring effectiveness of any changes made.
  • Support the Data Quality Manager in overseeing reception services ensuring adequate cover at all times and that patients receive an appropriate and welcoming service.
  • Ensure patient demographic details are updated on the PAS
  • Collect and use data to measure performance of department against objectives.
  • Assist all members of staff and patients with the uptake of new technologies, and where required become a user champion to embed learning
  • Assist in sourcing specialist equipment as appropriate.
  • Flag up and report overseas visitors for payment
  • Participate in regular team meetings and other relevant meetings e. g. Patient Access
  • Organise and prioritise workload with minimal supervision
  • Deliver an efficient appointment booking process for the clinic, supporting Clinicians and Practitioners to ensure smooth running of clinics and procedure lists.
  • Liaise with other departments and teams relating to the patient care pathway and service delivery.
  • Ensure patients are checked in appropriately to the clinics
  • Ensure that patients and staff are kept updated about any delays to clinics.
  • Ensure all correspondence typed by the managed transcription service is matched with the correct patient and clinician, any amendments are made, and letters dispatched and filed in medical record.
  • Ensure that all externally transcribed correspondence is prepared for signature and dispatched within required Trust timeframes.
  • Proactively resolve and escape any quality issues from transcription service, standards of dictation etc.
  • Arrange investigations for patients with the appropriate department or hospital, advising patients and obtaining results where required.
  • Assist Data Quality Manager in performing all clinic configurations in PAS, including cancelling and amending clinics for annual leave etc.
  • Maintain all systems of recording and documenting patient or clinical activity as required by the specific clinic.
  • Provide any specific advice to patients upon booking-in, in preparation for their appointment
  • Liaise with other hospitals and GPs regarding patient care and pathways
  • Ensure urgent letters and reports are typed as required
  • Ensure the prompt turnaround of the grading of referral letters to meet the Trust standard.
  • Collate clinic cancellations/reductions provided by the clinical office teams and distribute information to management team(s).
  • Support the Data Quality Manager in monitoring patient tracking lists and taking appropriate action
  • Arrange interpreting services as and when required.
  • Liaise with medical staff and practitioners with regard to appointment times / cancellations / DNA's.
  • Maintain stock levels of clinic paperwork eg appointment forms and information leaflets.

Respond to any patient queries by telephone, face to face or digital.
