The HR & Finance Administrator will provide administrative support to the Human Resources and Finance teams, ensuring that accurate records are maintained and routine HR and financial processes are completed efficiently and in accordance with practice policies and procedures.
- HR Administration
- Send interview invitations.
- Update employee records.
- File sickness absence documentation.
- Monitor and redirect HR mailbox enquiries
- Support the Synergy and Wellbeing Team
- Payroll Support
- Assist with the preparation of payroll information.
- Support the administration of maternity, sickness and reimbursement claims.
- Support the submission of ARRS claims as directed.
- Finance Administration
- Input invoices into Sage.
- Maintain petty cash records.
- Reconcile supplier statements and escape discrepancies.
- Maintain spreadsheets and databases
- Reporting & Data Management
- Update HR and finance databases and spreadsheets.
- Produce routine reports as requested.
- Maintain accurate records and filing systems.
- Assist with data collection for management reports and audits
- Communication and relationships
- Liaise professionally with colleagues, NHS organisations and external agencies.
- Respond to routine enquiries in a timely and courteous manner.
- Participate in team meetings as required
- Work collaboratively with colleagues across HR and Finance teams.
- Provide administrative cover and support during periods of absence where appropriate.
- Practice Development and Clinical Governance
- To participate in primary healthcare team meetings when required.
- To provide data, as requested, for practice development plans and reports.
- To be aware of practice policies on risk management / incident reporting and health and safety and operate appropriate procedures for minimising risk.
- To be aware of issues related to own development and be committed to participate in training and education.
- Training, learning and development
- Undergo regular appraisal, supervision, and training as necessary to update skills and knowledge.
- Provide guidance to colleagues on routine administrative processes where required.
- Support induction administration and preparation of induction materials
