The predicted salary is between 37035 - 45265 Β£ per year.
We have a current vacancy for an Admin and Clerical Assistant to work within the Car Parking Service based at the LRI but will be required to work across all UHL sites to meet service requirements. The car parking service handles all queries relating to patient, visitor and staff parking across all UHL sites. The Car Parking Admin will support all departments and people across all UHL sites.
The role will be Monday to Friday 37.5 hours per week. There will be a basic literacy test at interview stage. The Car Park Administrator will be allocated to a designated UHL site although a flexible approach to working is essential. The post holder will spend the majority of their working day as an administrator, supporting UHL staff, patients and visitors with regards to parking. The post holder will support the Car Park Supervisor.
The post holder must follow UHL policies and procedures relating to car parking and seek advice from supervisor/manager if required. Workload will be determined by service level specifications and Standard Operating Procedures. The post holder will need to ensure that all Health and Safety/Security Risks to staff, patients, and visitors are reported to the Car Parking Manager/Supervisor and/or acted upon.
The main working relationships that the post holder will be required to develop are:
- Internal relationships with car parking manager, Supervisor, other car parking administration staff and car parking attendants
- Internal relationships with security officers and administrative staff
- Internal relationships with staff using the hospital facilities including departmental managers and ward based staff
- Link with patients and visitors using the hospital facilities including contractors and outside organisations
- Link with external car park providers
- Link with equipment suppliers
- Link with police and other emergency services
- Link with council
To ensure a friendly and efficient service is provided to all customers demonstrating high standards of customer service at all times. To ensure that all staff have access to the appropriate resources and equipment to carry out their role. To ensure that staff complete their tasks to the standards determined in work schedules and to elevate any ongoing issues to the appropriate Car Parks Supervisor as necessary.
To carry out audits on the cash register and to keep paper audit trails, in line with the agreed timetable and take appropriate action where a shortfall in standards is identified. To carry out Car Parks training and/or assessment of staff where this is appropriate and necessary and to support the trainer. To monitor the performance of, and where necessary, coach less experienced members of the team to ensure standards are maintained.
To ensure health and safety standards are maintained in the department and ensure effective implementation of health and safety policies and procedures. To carry out risk assessments as requested with the support of managers where necessary. To assist in the development of safe work instructions where these are deemed necessary. To carry out health and safety inspections as necessary and to take corrective action where issues have been raised.
To ensure all staff comply with relevant policies and procedures and in particular those that relate to UHL Car Parks Protocol. To manage, update, and track staff car parking permits through the digitalised parking portal system, ensuring accurate issuance, amendments, and record-keeping in accordance with the department's standards and policies. To monitor and resolve any issues related to staff parking permits within the digitalised parking portal, ensuring that all permit-related requests, changes, and cancellations are processed efficiently and accurately.
To liaise with ward teams to ensure the efficient running of the service and meet with customers to resolve initial problems and queries. To ensure all record keeping and documentation is completed in a systematic and timely manner. To monitor maintenance standards within the car parks department, covered and where necessary liaise with the Estates Department to arrange repairs. To provide assistance to all site users on travel related issues.
To ensure all systems are in place and utilised correctly for the recharging of car park spaces, this would include but is not limited to the setting up of invoices and liaison with payroll. To provide flexible cover for other team members when required. To promote effective communication throughout the department. Participate as a full member of the team, e.g. supporting and training other staff, participating in team meetings, working flexibly as required to cover other members of the team.
Undertake other ad hoc duties as prescribed by manager and within scope of skill and capability. Undertake training courses, internal and external, relevant to the above duties.
