West Sussex Fire & Rescue Service is looking for a dedicated and organised individual to provide a professional, customer-focused service, playing a key role in the planning, coordination and delivery of the Service's training programme for approximately 800 employees across West Sussex Fire & Rescue Service.
West Sussex Fire & Rescue Service (WSFRS) delivers high quality prevention, protection, and response services to keep residents and visitors safe. The Operational Training, Safety & Preparedness team is integral to WSFRS and is responsible for the delivery of a range of safety critical operational training for staff at all levels.
Your key responsibilities will include:
- Using a fire service specific application, you will be responsible for the identification and nomination of students for operational training and ensuring their availability.
- Required to maintain accurate training records and provide a communication link between the courses office, internal and external training providers, students and their line managers.
- Provide a flexible, high quality administrative service, including producing complex documents, managing electronic records, preparing reports, and coordinating large training courses and events.
- Coordinating training sessions or events which may involve arranging dates, booking rooms, informing attendees of arrangements, allocating trainers and distributing papers.
- Responsible for maintaining the accuracy, confidentiality, security and integrity of administrative records and information systems, including electronic databases, procedures and forms, ensuring updates and changes are communicated effectively to relevant staff.
Required Qualifications and Skills:
- Relevant NVQ Level 3, or equivalent qualification, or equivalent level of experience.
- Demonstrable experience of working within an administrative role, preferably within a training or HR environment.
- Sound administrative experience with demonstrable evidence of effectively prioritising work and meeting deadlines.
- Demonstrable evidence of providing a customer focused service, meeting client needs.
- Strong organisational skills, with the ability to plan and prioritise your workload to meet tight deadlines and balance competing demands.
- Experience of using Microsoft Outlook, Word, Excel and PowerPoint to produce data and present information in a meaningful way.
- Ability to handle business and employee information with confidentiality, discretion, and sensitivity.
- Skills to demonstrate working accurately and pay close attention to detail, ensuring tasks are completed to a high standard.
