MAIN PURPOSE

OUTLINE OF DUTIES, RESPONSIBILITIES AND NECESSARY SKILLS
- First class communication skills at all levels.
- Always adhere to strict confidentiality and data protection policies.
- Adhere to strict infection control procedures.
- Ensure a highly effective and efficient reception service is provided to patients and any other visitors to the practice within a fast-paced environment.
- A kind, empathetic, caring, and friendly manner must be always shown to all patients.
- Deal with all general enquiries, and explain procedures.
- Work within the team, contacting patients and supporting the GPs in the Triage Hub.
- Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required, always in a friendly and kind manner.
- Recognise peoples needs for alternative methods of communication and respond accordingly.
- Divert telephone calls and take messages, ensuring accuracy of detail and prompt and appropriate delivery.
- Handling collection of repeat prescriptions to patients and chemists.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same before releasing paperwork to patient.
- Enter patient information on to the computer as required by using the registration module or EMIS Appointment System.
- Ensure that all new patients are registered onto the computer system promptly and accurately using own smart cards.
- Support the team in the handling of online consults, internal tasks and Docman mail.
- Undertake necessary admin duties appropriate to the post as requested by the Partners, Team Leader or the Practice Manager.
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve.
- Effectively manage own time, workload and resources.
- Deal with general incoming emails to the practice ensuring they reach the appropriate clinician, team or member/s of staff.
- Have the flexibility to support and help with periodic clinics such as flu clinics and have the capacity to share team availability for staff sickness, holidays and extended hours.
- Assess own performance and take accountability for own actions, either directly or under supervision.
- Facilitate a DBS check.
- Participate in the induction and training of new team members.
- Meet all CQC requirements for the role including mandatory training and immunisations.
- Adhere to all practice procedures and policies.
- Level 2 qualified. 4+ GCSEs A-C or equivalent and have a natural eagerness to do ordinary things, extraordinarily well.
