General and Bariatric Administrator | Imperial College Healthcare NHS Trust
This Band 3 Administrator role provides a comprehensive, high-quality administrative service to support the effective running of the Bariatric Service.
The post holder will coordinate key processes that underpin patient pathway management, including scheduling initial new appointments, booking post-operative dietetic and nursing follow-up appointments, collating and distributing diet appointment outcomes, managing correspondence, maintaining the department mailbox and telephone line, updating PTLs, and supporting accurate data management through the MAELA application.
Although not patient-facing in terms of direct clinical care, the role plays an important part in keeping patient pathways coordinated and the service running efficiently.
Working with clinical, nursing, dietetic, administrative and management colleagues, the post holder will ensure appointments, outcomes, records and pathway updates are completed accurately and in a timely way.
The role supports service continuity, clear communication, data quality and efficient pathway coordination, helping to reduce delays and improve the overall experience for patients accessing the Bariatric Service.
It also contributes to high standards of record keeping, office systems and administrative processes, supporting the multidisciplinary team to deliver safe, effective and responsive care.
- The post holder will provide administrative support to Bariatric and General Surgery, ensuring booking, communication and pathway processes are completed accurately and within timescales.
Key duties include scheduling new appointments, booking post-operative dietetic and nursing follow-ups, collating and distributing clinic outcomes, and ensuring information is recorded and shared appropriately.
- The role will manage the departmental mailbox, telephone line and correspondence, responding to enquiries professionally and escalating issues as required.
The post holder will support effective communication across the multidisciplinary team and maintain high standards of administration.
- A key part of the role is maintaining accurate records and supporting pathway oversight through updating PTLs, maintaining the MAELA application, recording clinic activity, and ensuring data is entered accurately on Trust systems.
The post holder will also support clinic preparation by ensuring referral information, documentation and records are available as required.
- The successful candidate will work independently, prioritise workload effectively, provide cover during absence, maintain confidentiality, and support the multidisciplinary team.
The role is essential to maintaining service efficiency, data quality, waiting list oversight and smooth running of Bariatric and General Surgery Services.
