Are you an organised and customer-focused administrator looking for your next temporary opportunity?

We are seeking a proactive Facilities Helpdesk Administrator to join a busy team supporting facilities management operations across multiple sites.

Key Responsibilities

  • Act as the first point of contact for facilities-related enquiries via phone, email, and helpdesk systems.
  • Log and manage service requests using a CAFM system, ensuring accurate records are maintained.
  • Coordinate with internal teams and external contractors to ensure work orders and maintenance requests are completed efficiently.
  • Provide regular updates to customers, ensuring excellent communication and service throughout the process.
  • Escalate recurring or significant issues and assist with identifying trends and service improvements.
  • Support the management of contractor call-outs, site inductions, permits, and compliance-related activities.
  • Assist with health & safety administration, audits, statutory compliance processes, and reporting requirements.
  • Produce management reports and maintain accurate operational data.
  • Work closely with operational, engineering, and soft services teams to coordinate supplier visits and site activities.

About You

  • Previous experience in an administrative, customer service, helpdesk, or facilities support role.
  • Strong organisational skills with excellent attention to detail.
  • Confident communicator, both written and verbal.
  • Comfortable working with databases, CAFM systems, or service management systems.
  • Ability to prioritise workloads and work effectively in a fast-paced environment.
  • Immediate availability or ability to start at short notice is highly desirable.
