We are looking for an organised, detail-focused Administrator to support both our housing and care operations within our supported living service. This is a varied, hands-on role split across two key areas: housing management administration and HR/CQC compliance administration - alongside general office administration.
About the Role
You'll be the administrative backbone across our housing and care teams, keeping properties safe and compliant, HR and CQC records audit-ready, and the office running smoothly. The role is split into two core parts, plus shared office duties, and involves working closely with managers, the Registered Manager (RM) and external HR consultants, accountants, and bookkeepers.
Key Working Relationships
- Service/Care Managers and the Registered Manager (RM) - day-to-day liaison on compliance, HR, and property matters
- External HR consultants - on documentation, policy, and recruitment support
- External accountants and bookkeepers - on cost tracking, invoices, and financial administration
Part 1: Housing Management Administration
- Logging and booking repairs with contractors, and tracking jobs through to completion
- Acting as a point of contact for tenants, handling queries and liaising professionally and sensitively
- Monitoring and filing tenancy and property paperwork, ensuring records are accurate and up to date
- Managing legionella, gas safety, fire safety, EICR, and other statutory compliance checks and renewal dates
- Maintaining property compliance trackers and escalating any overdue or upcoming checks
- Liaising with contractors, landlords, and internal teams to resolve property issues.
Part 2: HR, Recruitment & CQC Compliance Administration
- Maintaining accurate HR documentation, including personnel files, contracts, and right-to-work/DBS records
- Supporting recruitment administration - advertising roles, scheduling interviews, and coordinating onboarding
- Maintaining performance trackers, including supervision, appraisal, and training records
- Maintaining CQC compliance trackers - policy review dates, audits, and evidence for inspections
- Supporting managers with compliance deadlines and flagging any gaps or upcoming renewals
- Preparing documentation and records ahead of CQC inspections and internal audits
Office & General Administration
- Maintaining accurate Excel spreadsheets to track costs and expenditure
- Ordering PPE and other office/operational supplies as needed
- General administrative support - filing, correspondence, post, and diary management.
