We are seeking an organised and approachable Ward Clerk to support our team at Basildon Hospital.

This is an important administrative role, helping to ensure the smooth day-to-day running of the department.

Main responsibilities

  • Greet and welcome all persons entering the ward, checking identification of staff requiring access to patient information.
  • Answer the telephone correctly by adhering to the Trust’s telephone protocol.
  • To understand and give messages received to the appropriate person i. e. Ward Manager or nurse in charge.
  • Maintain good communication and relationships with patients/carers, members of the MDT and nurses in consultation with Ward Manager.
  • Liaise with other wards and departments as required to maintain accurate and up-to-date patient records.
  • Attend and participate in Ward/Directorate meeting
  • Ensure the acuity level is recorded in EPR.
  • Assist in the timely organization of TCI patients.
  • Prepare requisitions for ward manager/charge nurses signature, ensuring at all times that the ward has adequate stationery.
  • Deal with Ward post and distribute patient letters and read if requested by the patient.
  • Re-address letters of discharged patients.
  • Maintain clinical case notes and ensure there is no loose filing, there are sufficient history sheets, that they are tidy and repaired as necessary, and problems are reported to the appropriate departments.
  • Ensure appropriate paperwork is completed for patients on their discharge, including discharge summary, outpatient appointments, letter to GP and notes are prepared for CAB.
  • To undertake all routine clerical duties required such as photocopying, filing, scanning, typing and minutes of ward meetings, as well as assist the Ward Manager in administrative tasks as is required.
  • Organize transport for patients if required.
  • Arrange for x-rays/scans to be couriered to other hospitals as requested.
  • Check supply of stationery and ward documentation on a regular basis, ordering stationary and supplies as required.
  • Keep ward patient board, bed areas and notes trolley up to date with patient name and Consultant.
  • Update Major Incident cascade lists and telephone numbers on a regular basis.
