We are looking to recruit to a one year fixed-term opportunity to work as our centre administrator for our North Team in Bideford and Barnstaple.

Note: This is fixed term as the current post-holder has themself secured a secondment opportunity as the ‘Premises and Facility Manager’ joining the Business Support Team and will be improving our capacity and capability in managing the physical assets needed to deliver a safe and quality youth work service.

About the job

Location: Bideford or Barnstaple - Regular travel will be required to both sites.

Employment Type: 1 Year Fixed-Term Contract

Hours: 16 hours per week (with the option to claim up to an additional 4 hours per week as demand/availability allows)

What is the role

This position provides essential administrative support to the Bideford and Barnstaple Youth Centre teams, ensuring smooth daily operations across service delivery, premises management, and general administration. Acting as the primary point of contact for the centres, the role supports facility operations, routine finance duties, health and safety checks, and database management, while upholding Space Youth Services' core values in all communications. Occasional evening and weekend work may be required for training and staff meetings.

Key Responsibilities:

  • To assist in the provision of effective administrative support for our Bideford and Barnstaple Youth Centre teams
  • To assist in the maintenance of accurate record-keeping and service databases, including our Young Person’s membership database and HR systems.
  • To provide an effective first point of contact and signposting for staff, externals and prospective service users.
  • To serve as key point of liaison for cleaning and hygiene services in the premises
  • To liaise with and coordinate premises access for companies undertaking maintenance and repair work.
  • To provide routine administrative support such as photocopying, ordering and stationery issue
  • To provide administrative support for some personnel processes (absence, return to work, timesheets, annual leave and payroll).
  • To support with H&S and monitoring checks and record keeping (eg. meter readings) with respect to vehicles and buildings.
  • Reception/Telephone calls and Incoming/outgoing mail
  • Cash-handling and reconciliation; Banking, Petty cash and tuck sales change etc.
  • Processing of purchase orders for authorisation, ordering of goods and general finance duties as required
  • Enquiry management and administration of facility letting arrangements (under the direction of Locality Manager, Lead Youth Work Practitioner and Business Support Team)
  • To undertake appropriate training (anti oppressive practice/personnel-related/GDPR/ finance and ICT)
  • Any other duties commensurate with the grading of the post. This role may require occasional weekend and evening work (such as for training and staff meetings)
  • To commit to and promote Space Youth Services Values when working with internal and external 'customers' and regardless of whether communicating via telephone, email or face to face.
