KEY RESPONSIBILITIES:

  • Operational and Performance Management
    • Manage and co-ordinate the overall administration process to ensure a responsive service is available to colleagues and managers.
    • Co-ordinate work within the team and ensure all systems operate effectively and deadlines are met.
    • Provide advisory support to managers on processes, paperwork, and timescales associated with the service.
    • Cover for team members during periods of sickness and annual leave.
    • Analyse workloads and produce staff rotas for effective allocation of staff time.
    • Maintain expert knowledge of tasks associated with team procedures.
    • Support colleagues by sharing knowledge and expertise to provide a quality administration service.
    • Be aware of relevant Spectrum policies and ensure they are implemented within the team.
    • Update and inform the team of future service developments.
    • Maintain understanding of new technologies and techniques relevant to the service.
    • Lead administrative and operational team meetings for effective communication.
    • Attend internal and external meetings as required.
    • Act as a role model demonstrating excellent communication and listening skills.
    • Promote Spectrum's Values and Behaviours at all times.
  • Service Development
    • Support the implementation of new technologies and encourage innovations and cost-saving efficiencies.
    • Maintain operational efficiency of the team and ensure proactive customer service.
    • Ensure equitable distribution of work and re-allocation in the event of absence.
    • Maintain a highly organised office environment ensuring confidentiality and data protection.
    • Provide day-to-day leadership of admin staff in integrated sexual health services.
    • Develop an environment that improves health, safety, and security in the workplace.
    • Identify consistent admin processes for Chlamydia screening online registrations and postal packs.
    • Co-ordinate and monitor the LARC scheme in Primary Care, EHC scheme in Pharmacies, and C-Card scheme.
    • Monitor self-managed care e.g. online testing.
  • Business Planning and Financial Management
    • Accountable for management of the administrative team within agreed budgets.
    • Manage staff, income, and expenditure budgets ensuring financial balance at year-end.
    • Identify, co-ordinate, and deliver efficiency savings and cost improvement plans.
    • Authorise expenditure in accordance with spending limits.
    • Promote organisational efficiency and embed a culture of value for money.
  • Human Resource Management
    • Responsible for recruitment, staff performance appraisals, and grievance and disciplinary procedures.
    • Oversee training and development of staff in service areas.
    • Co-ordinate and report annual leave and communicate sick leave monthly.
    • Line-manage direct reports in accordance with Spectrum policies.
    • Ensure effective communication of organisational policies to staff.
    • Monitor performance, conduct, behaviour standards, and absenteeism.
    • Manage training and development in line with policy ensuring annual appraisals and development plans.
    • Facilitate professional and personal capability development for staff.
    • Support staff management supervision for development.
    • Identify training needs and share opportunities with staff.
    • Utilise workforce efficiently to reflect activity demands.
    • Undertake skill mix reviews to meet changing demands within budget.
    • Promote equal opportunities for staff in accordance with policy.
    • Act as a mentor for new team members and supervise their training.
    • Co-ordinate training workshops covering new developments.
  • Quality, Clinical Governance and Risk Management
    • Identify areas requiring service improvements and seek agreement for changes.
    • Implement action plans and communicate decisions regarding changes to the team.
    • Ensure confidentiality is maintained and adherence to Data Protection Act, Freedom of Information Act, and Caldicott Principles.
    • Oversee and carry out audit activity to ensure good practice.
    • Manage project work including data analysis and assessment of options.
  • Service User Involvement
    • Monitor and analyse patient experience and customer feedback surveys and act on findings.
