An internal opportunity has arisen for a Band 4 Administration Team Leader to join our Therapies and Specialist hub, within Community Care Services at Mersey Care NHS Foundation Trust. The role is key to the full procurement requirements within the hub liaising with internal and external stakeholders, and supporting the day-to-day leadership and coordination of administrative and reception services. This vacancy is open to internal Mersey Care colleagues only.

The post holder will have a significant role in assisting all aspects of the procurement process within the hub. Responsibilities include:

  • Providing day-to-day management of an effective flexible administrative support team.
  • Providing comprehensive confidential secretarial and administrative function to a multi-disciplinary team.
  • Contributing to the development and management of the administrative and clerical support services provided across services.
  • Establishing, maintaining, and developing professional working relationships with all departments.
  • Managing and delegating tasks appropriate to their team.
  • Providing an efficient and effective reception service and clerical support to the multidisciplinary clinical teams.
  • Demonstrating an attitude which respects and values service users and their carers.

Responsibilities also include:

  • Managing members of the Administrative Support Team, including Personal Development Plans and Performance Reviews.
  • Ensuring effective and efficient administrative support to a multi-disciplinary team.
  • Providing regular formal supervision for each member of the Administrative Team.
  • Coordinating the recruitment process as necessary.
  • Recording staff absence in accordance with Trust Health and Wellbeing Policy.
  • Monitoring quality standards in the administrative team.
  • Assisting in the implementation of Trust Policies and Procedures.
  • Preparing papers and agendas for meetings.
  • Coordinating the arrangement of meetings, visits, assessments, and appointments.
  • Completing stock and non-stock requisitions.
  • Maintaining systems to support monitoring of leave.
  • Contributing to team meetings and suggesting improvements.
  • Providing cover for absent colleagues as necessary.
  • Working on own initiative with minimal supervision.
  • Quality checking of CPA information and providing reports/statistics.
  • Effective liaison with multidisciplinary staff/patients/carers/outside agencies.
  • Coordinating and participating in social duties and project work.
  • Overall responsibility for processing and management of Petty Cash.
  • Establishing and monitoring stock control systems.
  • Attending Trust Meetings and cascading information.
  • Arranging travel and accommodation for meetings and events.
  • Supporting the management of the care records process.
  • Monitoring the admin team’s input and retrieval of data from Trust IT systems.
  • Participating in serious untoward incidents investigations/reviews.
  • Providing information and support to service users/carers as needed.
  • Recognising and responding appropriately to urgent and emergency situations.
  • Understanding and adhering to Trust Policies and Guidelines.
  • Undertaking any other delegated duties as appropriate.
