Administration and Systm One Support Assistant | Essex Partnership University NHS Foundation Trust

An exciting opportunity has arisen to join us as an Administration & Systm One Support within our SEE Dementia & Older Adults CMHT Service.

The role is to provide Systm One support to the teams in the service using that system.

Scanning, completing letters, discharge, booking appointments and arranging recalls and to provide general administrative support to the Dementia & Older People’s Community Mental Health Team Manager (South East Essex) and locally to the Operational Service Manager, Dementia & Older People’s Community Mental Health Team (Mid & South Essex).

  • We are looking for an experienced candidate with an excellent level of administration, interpersonal and organisational skills.

You will also need to be computer literate with experience of MS Word and Excel and will be given full training on Systm One as well as other internal systems.

Systm One experience would be an advantage.

  • We are looking for someone with a positive and compassionate approach to supporting patient care. The role will include telephone calls from patients.
  • Successful candidates will be expected to work in the organisation, providing services in a professional, efficient, friendly and polite manner.

  • You be required to handle incoming and outgoing telephone calls to the multi-disciplinary clinical staff and managers in a polite and efficient manner.

Receive and deal with telephone enquiries, responding appropriately to callers.

Maintain strict confidentiality at all times.

  • Liaise with other Trust Departments, such as Estates and Facilities or IT, regarding maintenance and domestic issues relating to the service.
  • To be skilled and experienced in the full range of administration practices, software programmes and specialised functional terms.
  • To be proficient with the knowledge of patient records management, including use of electronic patient record systems, supporting new users and instructing them as necessary.

To use the knowledge and experience to meet the needs of the clinical teams by completing non-routine tasks on a daily basis.

  • Receiving, prioritising and organising appropriate action when dealing with clinical staff requirements.
  • Use own initiative to organise, prioritise and coordinate workload ensuring that deadlines are met.
  • To report and ensure equipment faults are dealt with by the relevant persons.
  • Responsible for informing service users/carers, colleagues and outside agencies of appointments, changes to appointments, cancellations in person, telephone or by letter.

  • Due to the nature of the role a strong emphasis is placed on safeguarding confidentiality and this forms a pre-requisite for every Administration Assistant.
  • You be required to handle incoming and outgoing telephone calls to the multi-disciplinary clinical staff and managers in a polite and efficient manner.

Receive and deal with telephone enquiries, responding appropriately to callers including high risk, vulnerable clients and carers.

Maintain strict confidentiality at all times.

  • Record accurate messages and follow them up appropriately in accordance to department guidelines.
  • To deal face to face with patients and families seeking further help/information and to be aware of the needs of the clients and to deal in an appropriate manner with clients who can be hostile.
  • To exchange confidential and/or sensitive information between staff, patients, and carers in person or on the telephone.

The unpredictability of patients means that persuasive, reassuring, empathic, skills are required at all times.

  • Liaise with other Trust Departments, such as Estates and Facilities or IT, regarding maintenance and domestic issues relating to the Unit.
