Data Systems and Information Officer | East Lancashire Hospitals NHS Trust in Accrington

This is an exciting opportunity to gain experience working in the Therapies Directorate at East Lancashire Hospitals Trust. The role is key to supporting clinical, administrative and leadership roles across all services in the directorate with best practice use of our clinical systems, data analysis for audit and quality improvement, and providing accurate and timely information for performance reporting and business planning.

• Liaise with Heads of Service, Clinical and Operational Service Leads and Clinical Team Leaders around demand and capacity issues within their teams to ensure flexible use of resources across Therapies Directorate, maximise productivity and support delivery of Key Performance targets.
• Work in direct consultation with Therapies staff to optimise the clinical system to support productivity and efficiency, and determine their data requirements for improvements to service delivery and supporting Quality Improvement initiatives.
• Audit and monitor compliance of standard operating procedures in regard to system use and Data Quality requirements, and to liaise with departments to explore ways of improving quality when inputting onto systems.
• Support the services within the Therapies Directorate by extracting and interpreting information from a variety of systems and sources.
• Provide user friendly and accurate reports, in a variety of formats to enable delivery of key performance, improvement and business targets.
• Develop service specific processes and training materials in line with Directorate EMIS and Access SOP.
• Extract, interpret and provide complex data information for the teams and services within the Therapies Directorate.
• Communicate complex data reports and analysis to service leads and other staff in a way that is understandable.
• Liaise with Heads of Service, Clinical and Operational Service Leads to interpret the data and provide support with initiatives to deliver business and performance targets and associate development plans.
• Manage statistical data with regards to referrals, discharges and waiting lists as required by Clinical and Operational Service Leads to ensure delivery of key performance targets.
• Respond/action queries relating to data, comparing data from different sources to ensure quality, consistency and accuracy and verification of data.
• Have expert knowledge on Therapies Directorate data management and procedures and be able to act as a point of reference for queries relating to patient pathways.
• Audit and validate data entered on department systems, ensuring data is accurate and is completed in a timely manner.
• Create reports by inputting and manipulating complex data using tools such as Excel and Power BI.
• Maintain regular performance reports and information for key stakeholders including Divisions and for Divisional Performance meetings.
• Share performance knowledge and expertise by supporting and guiding administrative staff in use of information and data.
• Compose and produce high quality information, reports, presentations, letters and other correspondence of a confidential nature, using MS Word, Excel, Power-point, Outlook and the Internet to the highest standard within agreed deadlines.
• Regularly monitor local access standards and waiting times as described in the standard operating procedures for individual service areas.
• Ensure adherence to the Patient Access Standard Operational Policy at all times, highlighting situations where this is not achievable to the Admin Services Manager and HOS as required.
• Deliver and attend meetings relevant to role within the Therapies Directorate.
• Be proficient in the use of all electronic systems, such as EMIS in relation to patient data and undertake training as required if new technology/systems are introduced, to ensure competencies are maintained and efficiencies of the administrative processes are maximised.
• Be fluent in functionality of clinical reporting and electronic patient record systems eg. EMIS, Cerner Millenium.
• Responsible for the completion of IR1/Datix, where necessary.
• Be available for and aware of major incident procedures.
• Create standard operating procedures to support data quality and correct use of systems across the services and monitor compliance, escalating any issues to the relevant Heads of Service and Clinical and Operational Service Leads.
• Create process guidelines for Therapies Directorate around use of the systems to ensure standardisation and to support induction of new staff to the systems.
