We are looking for a Personal Assistant (m/f/d) to the Global Head of Broker Management in London and the Global Head of Marketing in Toronto.
The role is based in our office in London.
Responsibilities
- Coordinate and schedule a busy calendar of both internal and external meetings across multiple countries and time zones.
- Collaborate with the PAs and EAs of internal and external stakeholders to ensure smooth scheduling and communication.
- Organise end-to-end travel across Europe and intercontinentally, including flights, hotels, airport transfers, taxis and any other logistics needed to keep trips running seamlessly.
- Filter emails, highlight urgent correspondence, filter phone calls and invitations.
- Act as the go-to person for all direct reports, as well as internal and external stakeholders, building strong relationships and keeping communication flowing smoothly and diplomatically.
- Prepare agendas and provide support by creating presentations and reports.
- Contribute to and coordinate ad-hoc projects and initiatives.
- Undertake other duties as requested.
Qualifications
- Proven senior PA experience within Financial Services with a natural ability to build rapport at all levels and strong organisational skills.
- Experience handling complex international diary management and travel.
- Competent user of Microsoft Office applications: Outlook, Power Point, Excel, Word.
- Excellent interpersonal skills at every level of the organisation.
- Tact and discretion.
- Well-developed ability to filter information, assess priorities and work independently.
- Ability to remain calm and focused under pressure.
- Service-minded, resilient and able to find solutions.
- Impeccable written and spoken English.
- Basic understanding of artificial intelligence (AI) and its potential applications in business.
