About The Role
We are seeking a highly organised and detail-oriented Facilities Co-ordinator to support the day-to-day administration of facilities activities across multiple sites.
This is a predominantly administrative role requiring exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
The successful candidate will act as a key point of contact for contractors, site teams, and external suppliers, ensuring all facilities-related activities are coordinated efficiently and in line with company procedures.
Key Responsibilities
- Manage facilities-related enquiries from internal departments and external contractors.
- Coordinate contractor visits and ensure all required documentation is received and validated prior to works commencing.
- Issue contractor access cards and manage site access requirements.
- Maintain accurate records of permits, contractor documentation, and facilities activities.
- Raise purchase orders and track facilities expenditure.
- Obtain and compare supplier quotations.
- Support facilities compliance activities, audits, and reporting requirements.
- Liaise with contractors and stakeholders to ensure work is completed safely and efficiently.
- Assist with administrative support for maintenance, site projects, and business continuity activities.
- Ensure all documentation is maintained to a high standard and completed within required timescales.
Essential Requirements
- Strong administrative experience within a facilities, logistics, warehouse, or similar environment.
- Exceptional verbal and written communication skills.
- Advanced Microsoft Office skills, particularly Excel and Outlook.
- Excellent organisational skills with the ability to prioritise workload effectively.
- Strong attention to detail and accuracy.
- Confident dealing with contractors, suppliers, and stakeholders at all levels.
- Ability to work independently and use initiative.
Desirable
- Experience coordinating contractors and managing site access procedures.
- Knowledge of Health & Safety requirements.
- Experience within a warehouse, logistics, manufacturing, or regulated environment.
