Job Purpose:
The Team Manager – Stock for the Central Logistics Centre (CLC) will ensure the highest standards of stock integrity and storage conditions, oversee stock and returns functions, and optimise inventory management within a highly automated environment. The role ensures compliance with standard operating procedures and leads a team to achieve specific KPIs, maintaining relationships with internal and external stakeholders and supporting continuous improvement initiatives.
Principal Accountabilities:
- Stock Control: Take departmental responsibility within the daily operation, ensuring the smooth and efficient processing of stock counts, expiring checks, creation of Inter‑Warehouse Transfers (IWTs), reserve checks, damages, quarantine management, and stock variation investigations. Ensure accuracy in all areas to maintain high levels of stock accuracy. Promote and enforce a safe working environment, ensuring compliance with health and safety regulations. Engage in continuous improvement initiatives within the warehouse environment. Address and resolve any stock related issues or challenges that may occur. Work cross‑functionally with logistics, inbound and outbound management, and other departments to ensure seamless operations and resolve issues quickly. Conduct regular stock counts, identify discrepancies, and generate reports on turnover, ageing, and other metrics. Ensure reconciliation of all paperwork regarding goods inwards deliveries, supplier invoices, supplier credit claims, and maintenance of the Bought Ledger. Provide prompt feedback to customer related stock queries.
- Returns: Take responsibility of the returns process, including crediting customers when required. Ensure returns are placed back to pick locations (if fit), within stipulated time frames. Ensure no falsified products enter the system. Ensure recalled returns are processed in a manner that doesn’t put patients at risk.
- People Leadership: Lead, motivate and supervise to support the development of a multi‑skilled stock team and foster a positive and safe work culture. Onboard and train new team members while providing development opportunities to enhance skills and improve performance. Support the stock team with direction, development, coaching and guidance in line with our Guiding Principles, including hiring, training, performance evaluations and scheduling. Conduct performance reviews and provide timely feedback. Champion the DE&I agenda, embracing open dialogue and collaboration as part of the site’s culture. Be a role model by demonstrating the Guiding Principles in everyday actions and continuously work towards the Cencora Purpose.
- KPI: Monitor stock performance metrics, maintain accurate records and report on performance, identifying areas for improvement. Identify opportunities for process improvements and implement best practices within your function. Support ensuring the CLC has the correct headcount to maintain stock KPI measures, including PI vs Write‑Off Performance, Expiry Write‑Offs, Stock Counts, Returns, Quarantine, Recall and Costs.
- Compliance: Maintain high standards of quality and accuracy in all stock operations, ensuring pharmaceutical products are handled and stored correctly. Maintain compliance with standard operating procedures. Maintain compliance to good distribution practices (GDP). Implement and oversee quality control procedures to ensure the integrity of products.
- Budget & Staff Management: Support the Inventory & Compliance Manager in managing the stock department budget. Identify and implement cost‑saving initiatives. Work with management to identify and implement improvements in stock operations, driving efficiency and reducing operational costs. Plan and manage team schedules to ensure adequate coverage, especially around recall notification. Monitor productivity performance and agreed KPIs with the Inventory & Compliance Manager and ensure targets are met or exceeded.
- Health and Safety and ESG: Champion and lead the health and safety culture, ensuring safe processes, procedures and behaviours and continuous improvement through best practice activities. Enforce Health & Safety regulations, conduct safety audits and ensure all team members are trained on proper safety procedures and protocols. Ensure a culture of being safe, legal and compliant.
