37.5 hours per week, Monday to Friday (part-time hours may also be considered).

Role Purpose

We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and HR support. This role requires excellent communication skills, discretion, confidentiality, strong attention to detail, and the ability to work on multiple priorities in a fast-paced environment. The successful candidate will play a key role in ensuring smooth day-to-day operational effectiveness to maximise the time of consultants while supporting HR administration, coordination, and scheduling.

Key Responsibilities

  • Act as the PA to the Managing Director and team of consultants to enable day-to-day operational effectiveness including co-ordination and administration support to maximise consultant time including professional and/or personal errands.
  • Act as the first point of contact for calls, screening emails, responding to enquiries and post.
  • Planning, Scheduling and Diary Management (internal and external) including appointments, meetings, training and travel to ensure all information required is prepared, co-ordinated and ready including booking rooms, agenda, refreshments, travel and/or IT equipment (and issuing reminders).
  • Liaising and co-ordinating with clients and other parties including visitor management, room setup and refreshments.
  • Provide administration support to HR Consultants, including meeting agendas, note-taking, drafting or proofreading letters and/or reports and attending meetings where required including printing of materials for assignments and/or training.
  • Support research and project delivery.
  • Support automation and improvement of business processes.
  • Preparing / collating and filing expenses and/or consultant time recording.
  • Maintain digital and physical filing systems and template management to ensure compliance and easy access to information.
  • Order and manage office stationery, supplies, and equipment.
  • Administration of the e-learning and other internal system, and processes, including client onboarding and issuing terms of business.
  • Assist with marketing activities, including maintaining and updating the website.
  • Maintain accurate databases and spreadsheets in line with GDPR requirements, and compile reports when needed.
  • Liaise with suppliers including facilities, telephone, insurance, IT, systems, and database providers to manage renewals, log issues and resolve problems.

Other

Undertake any other reasonable duties within competence and as reasonably required and/or to adapt to changing circumstances/priorities in order to meet business needs. This job description may be amended in line with changing client requirements or business needs. The post-holder is expected to cooperate with such changes to support the continued success of the business.

Requirements

  • Previous experience as a PA, Office Administrator, or similar.
  • Strong IT skills, including proficiency in Microsoft Office applications.
  • Excellent communication, planning, and organisational skills.
  • Strong attention to detail with discretion and confidentiality.
  • Ability to use initiative and work on multiple priorities in a fast-paced environment both independently and as part of a team.
  • Willingness to learn, develop, and take on new responsibilities.

Desirable

  • Experience providing HR administrative support.
