Executive Assistant Our client is seeking a proactive Executive Assistant to join their dynamic and fast-paced team, on a 12-month Fixed Term Contract. You will provide critical, high-level administrative support to the global executive team and senior leadership team in the UK. Executive Assistant Responsibilities This position will involve, but will not be limited to: Provide high-level executive support to C-suite leaders, including complex calendar management, international travel coordination, and cross-time-zone scheduling. Coordinate logistics for board meetings and executive events, including scheduling, preparation, travel arrangements, and on-site support. Manage confidential correspondence, reports, legal documents, and board governance materials with professionalism and discretion. Support fundraising and business development activities by coordinating meetings, tracking documentation, and managing follow-ups. Drive administrative process improvements, assist with budget tracking, and oversee expense reporting and procurement support. Act as a liaison between executives and stakeholders, ensuring timely communication and supporting strategic initiatives as needed. This is a full-time role working 37.5 hours per week Monday – Friday. They offer flexible start/finish times, but this role does require flexibility to support US time zones as required. Executive Assistant Essentials Experience as an Executive Assistant supporting C-suite executives, with a track record of managing complex calendars, coordinating international meetings, and overseeing high-level event logistics. Exceptional organisational and time management skills, with the ability to prioritise effectively, anticipate needs, and deliver accurate work under pressure. Highly adaptable and resilient, with the flexibility to navigate shifting priorities in a dynamic, fast-paced environment. Strong interpersonal and communication skills, with the ability to build trusted relationships and collaborate confidently across all levels of an organisation. Solutions-focused and proactive, capable of working independently while knowing when to seek input or escalate issues. Prior experience in start-up or high-growth environments, and/or exposure to the life sciences sector is highly desirable; enthusiasm for contributing to a purpose-driven organisation is essential. Location This is a hybrid-working role based in Oxford, with free onsite parking available. However, there is a requirement to be flexible for office working, as per business needs.
