Allegis Global Solutions is recruiting for a contract position, and the assignment will be at Warner Bros. Discovery.

Contract: 6 months

Location: Chiswick

Mode: Hybrid

Responsibilities:

  • Proactively manage all administrative tasks relating to event logistics, from initial planning through to on-site delivery.
  • Coordinate comprehensive travel arrangements including rooming lists, flights, and ground transportation.
  • Collaborate confidently with multiple departments across Europe to track and fulfil logistics requirements.
  • Maintain accurate data management and oversee critical timelines.
  • Communicate clearly and professionally with suppliers, partners, and travellers, providing detailed logistical briefings.
  • Raise purchase orders and process invoices to ensure accurate and timely vendor payments.
  • Support post-event financial reconciliation, including budget tracking and reporting.

Qualifications:

  • Proven administrative experience with exceptional attention to detail and accuracy.
  • Experience working with large volumes of data confidently and efficiently.
  • Strong organisational skills with the ability to prioritise and deliver high-quality work within tight deadlines.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build and maintain effective working relationships.
  • Ability to manage multiple projects simultaneously in a fast-paced, evolving environment.
  • Proactive, solutions-focused mindset with strong initiative and motivation.
  • Strong service-orientated approach.
  • Willingness to travel on-site for short periods during key events.

Beneficial Experience:

  • Experience within the travel industry and/or live sports events.
  • Ability to communicate in French within a business environment.
