The Facilities Coordinator supports and coordinates a small team to ensure the workplace is safe, well-maintained, and running smoothly. This role works closely with clients, landlords, vendors, and contractors to make sure all facilities-related tasks are completed on time and to standard.
Key Responsibilities
- Coordinate and support a small team of multi-skilled staff
- Build strong working relationships with clients, landlords, and vendors
- Support and monitor contractors to ensure quality work
- Help source and manage vendors and services
- Assist with purchase orders, invoices, and other finance related tasks
- Support monthly reporting and tracking of expenses
- Conduct regular site inspections, audits, and safety checks
- Ensure buildings are clean, safe, and in good working condition
- Support risk management, emergency response, and business continuity plans
- Follow incident reporting and escalation procedures
- Help prepare management reports and support projects as needed
- Ensure KPIs and SLAs are met
Skills & Qualifications
- Able to work independently and in a team
- Self-motivated, flexible, and comfortable working under pressure
- Strong communication skills (written and verbal)
- Proficient in Microsoft Word, Excel, and Outlook
- Bachelor's degree in a related field
