The Job:
- The role will provide executive administrative assistance to the Vice President, Corporate Services, Strategy, and Compliance (CSSC) and other leaders on CSSC team, as needed.
- The role will also create high quality presentations intended to be used for executive readouts and all-hands meetings.
- Communication skills are key in managing stakeholders and working with all business levels.
The Daily β Major Activities:
β’ Scheduling β Must be able to schedule independently using Outlook and rearrange things as necessary to accommodate different time zones.
β’ Microsoft Office β Someone capable in Word/Excel/PowerPoint/Outlook with experience in Microsoft Co-pilot or Chat GPT. This position will frequently require updating documents based on guidance given, so someone with a creative eye and able to follow the guidelines set by the business re design.
β’ File Management β Should be familiar with large file repositories, and searching using multiple key terms. We mainly use SharePoint and OneDrive
β’ Follow Through β We are looking for someone that doesnβt have to be asked multiple times to complete something. Someone very organized who is able to work independently on tasks, that can provide frequent updates to the rest of the team.
β’ Customer Service β Would like someone driven and hungry to learn more, but also someone with excellent customer service skills as this position is frequently the first P.O.C within the department,
The Essentials:
β’ 2+ years of desk/administrative assistant experience within the entertainment industry.
β’ Tech savviness – comfortable with communication and productivity tools with an eagerness to learn.
β’ Must have excellent written and verbal communication skills.
β’ Proven ability to multi-task; must be able to constantly and consistently prioritize workload of both executives and oneself simultaneously.
β’ The person in this position will also need to handle many sensitive documents and must be trusted with confidentiality.
β’ They must be able to handle themselves professionally as they will have direct interaction with many other executives within the company.
β’ The ideal candidate will be experienced in handling a wide range of administrative support related tasks and will be able to work independently with little or no supervision and handle typical entertainment assistant responsibilities along with other projects and duties at executive\’s discretion/direction.
β’ This person must be exceedingly well-organized and flexible.
β’ The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
