Role Overview
This role will provide efficient and comprehensive Executive Administration (EA) support to the VP, Office of the Chief Digital and Technology Officer (OCDTO), a member of the Global Digital and Tech Leadership Team and Chief of Staff to the Chief Digital and Technology Officer. This person will be a key interface both internally and externally to GSK.
Key Responsibilities
- Calendar: Provide comprehensive administrative support to the VP, CDTO Office, managing details of diary management and ad hoc admin tasks to help manage the VP's calendar and time commitments. This includes scheduling, arranging and monitoring diary appointments and co-ordinating key team, leadership meetings, often requiring understanding of, and juggling of, priorities.
- Issue resolution: Understand the work performed by the team in order to proactively deal with issues for manager and in manager's absence using initiative and knowledge to bring resolution. Identify and propose creative and interpretive process improvements on a regular basis. Provide guidance to the direct reports of the executive when direct access to leader is not possible.
- Travel: Co-ordinate extensive and complex international travel. Process necessary visa applications and ensure travel vaccination guidelines are met.
- Meeting logistics: Organise all logistics for complex meetings (visitors, catering etc.), conferences and events whilst adhering to the meetings policies, liaising with internal/ external parties.
- Admin systems: Use various GSK systems to manage, coordinate and complete finance processes including expenses on time, manage invoices, raise purchase orders.
- Projects: Support additional projects on an ad hoc basis, including meeting preparation, events, culture and engagement activities.
Experience, Skills & Qualifications
- Demonstrable experience providing varied administrative support of increasing complexity at Director level or above (this includes management of complex diaries, travel, expenses etc).
- Expert level of proficiency in a broad range of computer skills necessary to support a senior leader (SAP, Ariba, Excel, Outlook, AI assisted tools).
- A high degree of accountability, integrity and discretion when dealing with confidential matters.
- Adopts a highly flexible approach to work and can triage competing priorities to manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives, and target dates.
- Demonstrates high level of proficiency in interpersonal and communicational skills with the ability to interact in a highly professional manner.
- Excellent organizational skills with high attention to detail, including ability to handle complex travel arrangements and organize multi-site events.
- Team player with the ability to collaborate with various departments globally and gain the confidence and cooperation of peers.
- Demonstrates flexibility to adjust to the ever-changing needs of the position, working with people at all levels, internal and external, with adaptability to working styles.
