Role purpose: An exciting new opportunity has arisen, and the role will be in the Case Management Team providing admin/PA support to the business's Financial Advisers and wider business. Build client relationships and their experience of being a client. The CM Team is the centre of all client interaction and experience working closely in tangent with the financial advisers.
Proactive monitoring and management on all client cases from start to finish with the aim of achieving an efficient start to finish process that contributes to internal processes and external client experience. Regular (minimal tri-weekly) direct client updates of ongoing cases (business, death cases and any other complex admin requests such as DOA/Stock transfers). Preference is phone call to build client relations, unless the client specifies email. Completion of client tracker and this is kept fully up to date. This is the ultimate priority.
Weekly scheduled adviser meetings running through pre-agreed CM Team Meeting agenda to ensure all areas are covered. Managing sign-ups ownership - Booking & Chasing sign-ups to ensure they are booked in as soon as possible. Sign up packs for business no prep now but ensuring all sign up packs are to advisers timely and are scanned back timely to file and Paraplanner once the meeting has been concluded and the business is ready to be submitted - pack creation by PP team. Sending and monitoring of TT forms for new business payment, chasing of payments in a timely manner to ensure funds come across to the company promptly. New business basics pack check/prep and pass through to PP team, ensuring basic information is in file (following guide for each business of minimum requirements of CM).
Fluid updating when required for case updates in status. Working with Paraplanner to ensure all relevant info from advisers is obtained and supporting them with any chasing of outstanding documents with clients and advisers. Creation of Salesforce and iBusiness records for all new clients, companies, trusts and trustees. HMRC follow-ups for Trust registration for new and top-up business cases. Completion of Corporate & Trust AML/ID for business. Welcome calls to all new clients/bio & prep of welcome pack sending. Ad hoc client actions/requests post client Annual review meetings.
Timely Death case management ensuring all parties to the case are treated with empathy, understanding and with the aim of concluding their case as timely as possible. Staying on top of outstanding actions and chasing to full conclusion, keeping the client updated at all times. The death case tracker must be completed at all times and on a regular weekly basis check in/action until conclusion. Monthly active Management of expiring prospects to ensure leads are kept on the system before expiry of 3 months. Withdrawals taking instruction and completion of withdrawals keeping the client up to date throughout the entire process. Complex tasks completion DOA/Stock transfers. Active Adviser Inbox management keeping on top of adviser incoming emails, dealing with what can be dealt with by the admin team. Analytics on request from Adviser. Full client updates are kept up to date and always recorded by client contact record or SF. Answering of incoming office calls. Supporting with other office ad hoc projects and resource. Protection application keying on of application by ad hoc request.
